Job overview

We are looking for an experienced Administration manger to provide a secretarial and PA support role to the Black Country Pathology Services.

This role provides a comprehensive Administration Service to the Black Country Pathology Services (BCPS)  Group Operations Manager, Deputy Operations Manager and  Chief Medical Officer together with ad hoc support to other BCPS senior managers at Departmental, Laboratory, Directorate, cross-Directorate, Divisional and Trust levels.  The successful candidate should have a thorough understanding of the functionality of the BCPS in order to manage administrative support effectively and maintain the quality of service provided to Departmental staff and service users, with particularly reference to meeting required standards and Data Protection issues.

The job is full time 37.5 hrs. per week over 5 days Monday to Friday.

To be responsible for taking and transcribing minutes at BCPS Meetings at Department/Directorate/Divisional Level . To be involved as required in the circulation of agendas, minutes and other relevant correspondence for Departmental, Directorate and Division meetings including arranging meetings, taking minutes and Communicating complex and sensitive information to service users and executive teams.

Detailed job description and main responsibilities

To be responsible for taking and transcribing minutes at BCPS Meetings at Department/Directorate/Divisional Level . To be involved as required in the circulation of agendas, minutes and other relevant correspondence for Departmental, Directorate and Division meetings including arranging meetings, taking minutes and Communicating complex and sensitive information to service users and executive teams. Provides both reproduced and constructed written reports, dealing with information of a highly complex, and often political and confidential level, including preparation of reports. This also includes promotional material and communications of a high standard in order to enhance the profile of Pathology.

To assist with promotional materials and organised visits including refreshments and travel arrangements as appropriate.

To deal with incoming phone calls from service users in an appropriate manner, and in accordance with both Departmental and Trust Policies and procedures. Establish and maintain effective communication with colleagues and service users.
