An exciting opportunity has arisen to join the dynamic admissions team on Ward A515 (The Older Persons Assessment Unit) For a 6 month fixed term.

The post holder will be required to support the inpatient multi-disciplinary team undertaking a range of tasks including maintaining electronic patient records, answering telephone calls and queries, supporting the visiting process, ordering stock, filing and arranging patient transport.

We are seeking a reliable and highly organised individual with excellent communication skills. This post is suitable for someone wishing to work as part of the multi-disciplinary team providing indirect patient care. There will be considerable communication with patients, families and clinical staff within the ward environment. You must be able to effectively deal with a diverse range of people in a sensitive and confidential manner.

The successful post holder will provide an efficient and effective administration service to the ward team and contribute to the delivery of a consistently high standard of patient care.  They will be expected to organise and prioritise their own workload. Good IT and organisational skills are required.

This post is offered as a permanent position, full-time 37.5 hours, working Monday to Friday between the hours of 0730 - 1530.

Main duties of the job

  • To liaise with patients, clinical staff, GPs and Trust support staff in person, via telephone and email as and when necessary
  • Show a caring and professional approach towards patients and visitors when carrying out all duties
  • Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate
  • To welcome and assist patients, relatives and visitors on arrival to the ward and inform appropriate staff. This may require acting with resilience to deal with sometimes distressed patients and relatives in a professional and empathetic manner
  • Ensure that all clinical results and other clinical information are accurately filed in the patient notes and that patient notes are up to date and maintained according to the relevant Trust standards
  • Ensure patients are transferred to relevant wards on care flow (hospital tracking system)
  • Ensure patient records are appropriately received and transferred and trace all notes into and out of the ward
  • Prepare patient notes for coding within the relevant deadlines set by the coding team
  • To carry out associated clerical duties, for example maintaining accurate filing systems, photocopying, receiving and distributing post, diary management and scanning/uploading patient notes to the online computer system so that they are ready to be viewed in their out patient appt, making outpatient appointments
  • Undertake the role’s/duties in the case of a major incident in your department
