Job overview

The Emergency & Integrated Medicine Care Service Unit (ICSU) is looking to recruit a Band 3 Ward Clerk to work within dedicated specialty areas.

We are seeking a highly motivated and organised individual to join a busy team. This is an ideal opportunity for a proactive and self-motivated individual who enjoys working in a fast paced environment. Excellent interpersonal and communication skills and an ability to work under pressure is essential to the role.

The ideal candidate will have NHS experience and a flexible approach to work. They will take responsibility, without close supervision, for providing administrative support to the Emergency and Integrated Medicine Acute Wards. The post holder will answer telephone calls  and redirect as necessary, carrying out their duties in a polite and professional manner. This is a patient facing role and will require an individual who has a calm demeanour and an ability to work in a dynamic environment.

The post will start as soon as possible.

Main duties of the job

Maintaining the stock and supply of printed stationery to ensure constant availability for the nurses and doctors.

Greeting patients and visitors and notifying patients’ nurse that there are visitors

To work closely with the discharge team in facilitating safe and efficient discharge processes.

Detailed job description and main responsibilities

Ward Clerk Duties

Maintain case notes in line with policy, arranging for case notes to be merged where required.

Registering patients on Medway, transferring to other wards and discharging.

Updating patients’ details on the electronic patient register (EPR) to a very high degree of accuracy.

Maintaining patient transfer book and updating patient status whiteboard where required.

Uploading “Friends and Family Test” patient feedback to the Meridian system.

Locating the whereabouts of case notes and collecting as required.

Booking of interpreters, greeting upon arrival and referring to relevant staff.

Other supporting activities:

Maintain professional, friendly, customer focused relationships with patients on the ward

Stocking the leaflet rack

Liaise with the nurse in charge to establish priorities

Booking of volunteer services

To photocopy, collate and file reports, results and information sheets as requested.

Order stock on an ad-hoc basis with the Ward Manager.

Be responsible for reporting faults and maintenance problems within the ward and following up with Ward Manager/Nurse in charge.

Ensure that all communications are dealt with confidentially and discreetly and that a sensitive approach is used.
