We are a supportive, growing team in an expanding city wanting to make a positive difference for our patients and families. We are a 10-bedded Intensive Care Unit in a University Teaching Hospital managing patients requiring Level 2 and 3 care, including the treatment and transfer of adult and paediatric patients for specialist management.

As a Ward Administrator within the Intensive Care Unit, you will play a vital role in supporting the smooth and efficient day-to-day running of the department by providing high-quality administrative and clerical support to the multidisciplinary team.

Detailed job description and main responsibilities

Communication & Front-of-House

Welcome all visitors to the ICU in a friendly, professional, and empathetic manner.  Respond promptly and politely to telephone and face-to-face enquiries, ensuring accurate message-taking and appropriate escalation

Patient Pathway & Information Management

Independently manage the ICU elective admissions diary Autonomously schedule, cancel, and update ICU follow-up clinic appointments

Administrative Support

Provide day-to-day administrative support to ward managers and senior staff Maintain effective organisation of unit paperwork and documentation

Liaison & Coordination

Liaise with clinical teams, bed managers, other departments to support effective communication and workflow. Arrange translation services when required, following approved Trust processes.

Professional Standards

Uphold all Trust policies, including those relating to Infection Control, Confidentiality, Data Protection, and Uniform.   Demonstrate sensitivity when supporting distressed or bereaved patients and families, escalating to senior staff where appropriate
