The role of Unit Clerk has arisen within Nursing for the Oncology Oral Chemo Unit.
This role is on a permanent, part time basis working 20 hours per week.
The role:
- Scanning of Medical Records, all scanning to be backdated and all new patient’s to be scanned onto Meditech.
- Responsible for the coordination of the administrative duties of the unit for patient care/ interventions
- Collaborating with the nursing staff in all patient dealings.
- Maintain patient confidentiality at all times
- Exercise initiative and diplomacy when dealing with patient care issues.
- Work with all unit staff creating an efficient, safe friendly environment for care delivery.
- All administrative duties for the unit.
- Liaise with other departments, including booking of CT scan appointments, liaising with Medical Secretaries/Hospitals with regard to Histology Reports and other relevant information.
- Organise all patient charts for the next day’s treatment in conjunction with Unit Manager and CNS
- Print out all letters from Oncology Admission / Oncology Nurse in preparation for new patient clinic with the CNS
- Liaise with Accounts department to ensure patient’s have health insurance cover prior to commencing treatment or if any further financial queries arise on patient accounts.
- Ensure all patients are pre-registered once they have seen the Consultant to ensure their details are on Meditech.
- Filing of all charts once the treatment is completed on a daily basis.
- Communicate test times to nurses in a timely fashion and record and highlight as they are completed.
- Filing and chart maintenance:
- Photocopying, printing, patient reports, nursing notes, clinical notes, x-rays, sending patient charts to medical records, filing blood reports.
- Maintain daily census and weekly stats to unit manager.
- Prompt discharge of patients off system once discharged
- Transfer, admit and edit patient details as necessary.
- Prepare order entry requests.
- Communication:

- Demonstrate a range of listening skills appropriate the context of different patient, visitor and unit situations.
- Order bloods, and deliver specimens to the laboratory
- General office duties including, maintaining office supplies, reporting complaints, assist patients with organising appointments or as requested.
The Candidate:
- 2 years’ experience in a previous administration role, ideally in a healthcare setting
- Excellent computer skills
- Excellent organizational and interpersonal skills
- Demonstrate the initiative, drive and enthusiasm to carry out the role successfully
- Ability to work professionally at all times when dealing with patients, staff and the public
- Be able to multi-task and prioritize effectively. Flexibility is essential.
- Self-motivated, highly organized, able to communicate effectively with a wide range of people
