Job overview

The Directorate of Theatres and Anaesthesia covers a Theatre Complex comprising of 29 theatres, 3 procedure rooms with PACU (Post Anaesthetic Care Unit) areas alongside a Day Procedure Unit that comprises of surgical and anaesthetic pre-assessment, same day admission unit and wards areas.

Main duties of the job

An exciting opportunity has arisen for enthusiastic and highly motivated individuals to join the busy Theatre Complex and undertake the role of Theatre Complex and Consumables Administrator.

The post holders will work collaboratively with a wide multidisciplinary team including the operational manager and clinical leaders to ensure coordination of all direct activity.

The post holder will be responsible for the day-to-day management of the Consumable and Materials Management team, also providing support to the clinical leader team, administrative support to the department and deputizing in the absence of the Admin Manager – Theatre Materials Management. The post holder will also line manage the departments Consumable and Materials Management Team.

This is ideally suited to someone who is experienced and highly organised to develop their current skills, whilst gaining in depth knowledge of the NHS procurement and administrative procedures.

Detailed job description and main responsibilities

  • To deputise for the Senior Administrator, covering their absence / workload as required.
  • To provide administrative support and line management to the Consumables and Materials management team, including being a key point of contact for the department with third party companies and other trust departments.
  • To effectively deal with enquiries, either in person, on the telephone, or written, using initiative to take action or redirect queries as appropriate.
  • Using judgement skills to effectively prioritise own workload, according to the changing needs of the department.  To demonstrate excellent organisational skills.
  • To provide a comprehensive administrative service to the theatre Clinical Leaders and Matrons where requested.
  • To ensure effective liaison, both verbal and written, between other departments and directorates.
  • To distribute key information to the department as appropriate.
  • To be the primary point of contact for ad-hoc ordering of consumables for the department, as well as the chasing of existing orders.

  • To process and engage with requests from clinical teams for alterations to our existing catalogue, including but not limited to minimum/maximum figures.
