We are currently recruiting for an temporary staffing coordinator to join our Temporary Staffing Team.

This is a fantastic opportunity for someone who has an interest within HR functions to join a well-established team and provide support across all clinical and non clinical functions within the Bristol Hospital Group.

This role would involve shift work and working  across a 7 day week between the hours of 06:30 - 20:00. You would also be required to work bank holidays, and 1-2 weekends a month.

Main duties of the job

Your day to day duties will include but may not be limited to:

  • Being a first point of contact to temporary workers, hiring managers, matrons, department heads and divisional Heads of Nursing across the Trust via telephone and email, across both Trusts within the Bristol Hospital Group.
  • Manage the service inboxes on a rotational basis, provide a prompt and professional response to bank workers and stakeholders.
  • Maintain a strong communication channel with various wards and departments throughout the Trust
  • Maintaining a relationship with agencies - liaising with them on a daily basis to allocate unfilled bank duties as required

The ideal candidate will:

  • Have strong communication skills and the ability to confidently communicate to key stakeholders
  • Previous call centre experience would be an advantage
  • Ideally have previous experience working in an NHS setting although this is not essential
  • Have a flexible working approach

Detailed job description and main responsibilities

  • Operate in accordance with Trust policy, Terms and Conditions. Receive bookings from wards and departments to fill temporary gaps in staffing. Requests for staff may be received by e-mail, via the internet or by telephone.
  • Ensure all systems are maintained and accurate with booking and cancellation information.
  • Establish and maintain an effective relationship with bank staff making regular contact by telephone to ensure that shift requests are filled in a timely and cost-effective manner. Deal sensitively with relaying information about cancelled shifts etc.
  • Establish and maintain an effective relationship at all levels with the wards and departments covered by the service.
  • Offer basic advice to callers whether bank staff, Ward Managers or the general public on how to resolve for example, recruitment, cancellation and pay issues.
  • Take part in regular team meetings to review service delivery and plan future direction bringing relevant ideas & information to these meetings.
  • Maintain an effective system of communication both within the team and to the end users of the service.
  • Attend meetings if required that promote open discussion on work-related issues and suggestions for change, acting on suggestions.
  • Use tact and persuasion as appropriate to fill bank shifts and cancel, regrade or move staff in conjunction with the wards or Clinical Site team as appropriate. Deal sensitively and anonymously with confidential information about patients requiring special attention or 1:1 support.
  • Be able to relay the skills and qualifications required for the assignments professionally to bank staff and external agency suppliers.
  • Implement Trust policies and protocols relating to bank and agency controls, and have the relevant expertise to advise stakeholders accordingly.
