This post will provide efficient secretarial, administrative and reception support within the Young People's Eating Disorder Day Service, River Lodge based at Wareham Hospital.
You will support all day service clinical staff by undertaking administrative and clerical duties including registering referrals, scheduling of appointments, typing all therapists’ letters, team meeting minutes, professionals meeting minutes, as well as reception duties and answering and appropriately directing all calls into the service.
The Dorset Young Person's Day Service are looking for a highly motivated and experienced Team Secretary who preferably has a comprehensive knowledge of NHS secretarial and administrative procedures. This is a busy position and requires the post holder to be highly organised in coordinating their workload to efficiently meet the needs of the service. In this role you will receive peer support and supervision sessions.
This is a fixed term role and for those with current NHS service, the role will be offered on a secondment basis only. Please obtain permission to be released on a secondment before submitting an application.
You will be joining a friendly, dynamic, professional multi-disciplinary team in a high paced environment where a flexible and adaptable approach with excellent multi-tasking abilities as well as a good understanding of Microsoft Office and a minimum of RSA/OCR II Typing / word processing qualification or equivalent is required. A working knowledge of RiO would be preferable.
You will provide information to patients, staff, carers, relatives, GPs, Community Health Teams, relating to appointments, patient care, service pathways and meetings, verbally by telephone, face to face or written in a tactful and courteous manner often requiring non-clinical advice involving careful analysis of delicate situations regarding patient care, requiring knowledge of patient confidentiality.
To maintain records including computerised systems, databases and spreadsheets required by the Dorset Community All Age Eating Disorders team.
To be able to work with complex accurate data when required e.g. typing clinic letters, discharge letters with medical information, team meeting minutes, professional meeting minutes and general outpatient’s appointment letters.
