Job overview

We are seeking an organised, proactive, and highly motivated Rota Co-ordinator to lead on the management of resident doctor rotas within the Cancer Services division. This role responsible for coordinating all medical staffing rotas to ensure services are safely and effectively resourced each day. You will take the lead in planning, monitoring, and optimising rota coverage. Key responsibilities include: •    Managing and coordinating resident doctor rotas  •    Recording and maintaining accurate, up-to-date records of annual leave and study leave, ensuring there are no gaps in cover and that safe staffing levels are consistently maintained •    Acting as the main point of contact for all resident doctor rota queries •    Coordinate locum bookings where required  The ideal candidate will have excellent organisational skills, strong attention to detail, and the ability to work under pressure in a fast-paced environment. You will be confident communicating with medical staff at all levels and capable of balancing service needs with workforce wellbeing. Please note you may be required to work flexibly across both Trust sites to ensure effective cover arrangements.

Main duties of the job

The Rota Co-ordinator will be the lead in managing resident doctor rota’s in Cancer Services. A key function of this role will include the co-ordination of all medical staff rota’s to ensure the service is resourced to the required levels each day. You will be responsible for maximising the skills and resources within this staff group including training and development. You will have oversight of locum bookings in order to ensure cost effective and safe staffing levels.

The post holder will be required to work flexibly across both sites of the Trust to ensure that cover arrangements are arranged effectively.

The post holder will be the main point of contact for all resident doctors for all rota queries.

ROTA MANAGEMENT

  • Design effective resident doctor rotas on Healthroster in line with the WTD requirements and 2016 resident doctor T&Cs. •    To develop an in-depth knowledge of each of the resident doctor rotas and their function including shift patterns and minimum levels of cover required. •    Review and ensure all rotas are filled three months in advance as a minimum to maintain efficiencies and stability.  •    To liaise with the temporary staffing team to put in place cover arrangements when required, ensuring compliance with Pan London caps

HUMAN RESOURCE MANAGEMENT

  • Support the Medical Workforce Operations Manager on recruitment and retention of medical staff.  •    Organise and oversee staff induction and training and ensure that all staff are adequately trained to fulfil their role and ensure a well-trained and highly motivated workforce •    Encourage medical staff to keep their personal development plans up to date and an accurate record of training received recorded. Setting up inductions for new Doctors including agencies.  •    Ensure that all staff are aware of procedures regarding patient confidentiality, policies and protocols.  •    Be responsible for ensuring the completion and submission of leavers forms and change forms for resident doctors, liaising with medics and authorised signatories as appropriate
