Main duties of the job

The post holder will provide a professional, efficient, and patient-focused reception and administrative service within the Trauma and Orthopaedics department of a large acute NHS Trust. As the first point of contact for patients, relatives, and visitors, the receptionist plays a key role in ensuring a welcoming environment while supporting the smooth day-to-day running of clinics and services.

Key responsibilities include greeting and booking in patients for outpatient clinics, managing appointment systems, handling telephone and face-to-face enquiries, and maintaining accurate patient records using Trust IT systems. The post holder will work closely with clinicians, nursing staff, and administrative colleagues to ensure clinics run efficiently, including preparing clinic lists, tracking patient flow, and escalating any delays or issues appropriately.

The role requires excellent communication and interpersonal skills, with the ability to remain calm and professional in a busy and sometimes challenging environment. Strong organisational skills, attention to detail, and the ability to prioritise workload are essential. The post holder must demonstrate a commitment to patient confidentiality, data accuracy, and high standards of customer care, in line with NHS values.

Detailed job description and main responsibilities

  • To  provide a support service to the technical, secretarial, medical and nursing staff of the Department.
  • To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
  • To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
  • To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
  • To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
  • To ensure appointment lists are maintained and prepared in readiness for clinical work.
  • 7.    To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • To maintain a record of the transfer of notes to and from the department.
  • To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic.  Liaise with external stakeholders to obtain referrals if necessary.
