An exciting opportunity has arisen for a Band 2 Receptionist to work in Poplar Urology Out Patients Department at Darent Valley Hospital. You will be working with colleagues and other health care personnel within the team who are qualified and unqualified to ensure smooth running of clinics and the delivery of all appropriate forms of patient care according to outpatient clinic standard and Trust policies, procedures and guidelines. You will be need to liaise with medical staff, nurses, health records staff and other departments as appropriate, in order to provide an excellent standard of care and customer service.
This position will not be supported for visa sponsorship. All applicants are expected to have valid right to work document to work in the UK when applying for this position.

We are looking for you to apply if you are a motivated clinical receptionist, with knowledge and experience in an acute or primary care setting. You will have excellent interpersonal, IT and communication skills with the ability to organise, manage and plan your workload effectively. You will need to be dedicated and passionate in your role working with patients/ carers/ relatives including those who may have specific needs such as mentally and /or physically impaired, young children, the elderly, the very ill, non-English speaking or hearing or visually impaired.
You will need to be energetic and dedicated in working, As The post holder will be responsible for designated clinics, including the preparation and storage of notes, the reception and discharge of patients, without supervision or direction
Key Responsibilities:
Provide an effective face to face/telephone reception service
Register/book-in patients on the PAS computer system, ensuring that all details are correct and duplicates are avoided.
Direct patients / visitors to other departments and locations as required
Responsible for dealing with all queries, either via telephone or face to face promptly
Order and track all hospital case notes in and out of the department using the PAS system.
Deal with all enquiries in a professional manner in accordance with the Trust’s data protection policy and referring to the appropriate department.
Receive monthly lists of incorrect/unknown GP’s and Post Codes for updating on PAS via the NHS Spine Tracing System.
Check the path lab to ensure bloods have been requested online.
Access the NHS Spine in order to check GP addresses on the Tracing System. Up-date PAS to ensure GP’s receive an attendance letter.
Liaise with medical records with regard to duplicate records.
Prepare clinic notes in advance for all clinicians. Print clinic lists and prepare each set of notes with history sheets relevant for the specific clinic
Assist in ensuring all necessary material resources are available for clinic sessions.
Maintain adequate stationery stock, advising the supervisor when orders are required.
Responsible for completion of general administration tasks, as required, ensuring continuity of service is maintained – including filing, photocopying, fault reporting (i.e. photocopier or fax machine)
Receive complaints, either in person or over the telephone and pass to the relevant person.
Report any accidents or incidents to the Nurse in Charge
Provide cover for annual leave and sickness in order to provide a 5 day a week service
Reconcile the clinic at the end of the session, taking appropriate action on patients who did not attend (DNAs) or cancelled their appointment.
Attend and participate in department meetings
