Job overview

The Physiotherapy Department is looking for a full  time appointment clerk to join the team in order to assist in providing a comprehensive appointment booking service within a timely and efficient manner

The successful candidate will need to have good communication skills including outstanding telephone manner and organisational skills. As well as excellent IT/data input skills, be competent in MS word/ keyboard skills and demonstrate an understanding of confidentiality.  They will assist in general administration of the service provision as well as working to input departmental statistical information. Training for Tiara appointment system will  be provided and with on-going support from the System Manager.

The work is varied and interesting. The necessity to be able to prioritise own workload is essential. Applicants should be able to use their own initiative although working as part of a close-knit team.  Applicant will also provide cover to other therapy administration teams as and when required.

Recent and proven experience of working within this field in the healthcare setting (or similar setting) is essential and applicants must be able to function well in a busy environment. Candidates must be flexible within their working environment and may need to assist at other therapies departments at the discretion of the Service Line management team.

Main duties of the job

***Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification***

To work as part of a team providing administrative and clerical support to the Physiotherapy and Hydrotherapy departments and its staff.

To act as a receptionist within the physiotherapy department; dealing with patient queries in person and on the telephone.

The Department, (including the satellite units) has over 120 staff and receives over 2000 outpatient referrals per month that need inputting and appointing.

Detailed job description and main responsibilities

  • To deal with referrals to the physiotherapy department- to ensure appointments are offered as quickly as possible and when necessary refer to clinical staff in order to prioritise.
  • To be responsible for the administration of the outpatient appointment system for physiotherapy, including booking appointments, transport and recording information on the TIARA Management Information system
