An exciting opportunity has arisen for a motivated, enthusiastic and experienced Medical Secretary to join the administration team within the Rheumatology service, based on the Broadgreen Hospital site of Liverpool University Hospitals NHS Foundation Trust.

Applicants should be an experienced and professional secretary with excellent organisational and communications skills.  This would be an ideal opportunity to progress your career within the NHS.

The successful candidate must be able to undertake all administrative duties, be well organised, able to plan their workload, work on their own initiative and work to deadlines, both individually and as part of a team.

To provide a comprehensive service to the consultants and specialty teams, with the minimum of supervision.  Organise your own workload and coordinate activities with other medical secretaries to ensure that an efficient service is provided.  It is essential that you show iniative commensurate with the role, and it is vital that confidentiality should be always maintained.

Main duties of the job

The main duties include, but are not limited to:

  • Provision of a comprehensive service to consultants and specialty teams.
  • Transcribe dictation from audio transcription of clinical correspondence and documentation.
  • Ensure all correspondence relating to patient care is acted upon in a timely manner.
  • Liaison with patients to resolve queries, respond to consultant requests.
  • Attend appropriate training and education sessions at the request of the manager.
  • Management of clinic utilisation, including patient waiting list.

  • Provide a comprehensive service to consultants and specialty teams, including nurse practitioners, clinicians.
  • Manage the RTT patient pathway for patients within own area, ensuring these are recorded accurately on the relevant systems, keeping track of incoming referrals to ensure patient is reviewed promptly in appropriate clinic.
  • Clinical utilisation management, ensuring clinics are fully populated, cancelled as appropriate when consultants on leave, correct patients are booked in, etc.
  • Management of follow-up OPD wait list, highlighting areas of concern to consultant, line manager and others as appropriate.  Cancel and add patients to the waitlist, as appropriate, ensuring lists are updated and patients contacted.  Booking patient appointments as directed by the consultant, using the appropriate systems.
  • Deal with patient queries in a professional and courteous manner, ensuring information is shared with relevant clinical staff as required.
  • Ensure appropriate personnel are informed of consultant leave/study leave and sickness absence in accordance with Trust policy and notification periods: resident doctor leave to be treated in the same way.
  • Accurately transcribe clinical dictation using appropriate system ensuring reports are distributed in accordance with consultant instructions.  Complete any actions arising from clinical dictation as required.
