An exciting and rewarding opportunity has arisen for a highly motivated and experienced Administrator to join the Paediatric Division as a Personal Assistant (PA) to the Directorate General Manager and wider Directorate Leadership Team. This is a fantastic chance to become an integral part of a dynamic, fast-paced healthcare environment, where your skills will make a real impact on the lives of children and families we serve.

As a key member of the administrative team, you will provide high-level, confidential and proactive support to a multidisciplinary team that includes the Directorate General Manager, Clinical Lead, Clinical Director, Consultants, and the Service Manager. You will play a vital role in ensuring the seamless coordination of daily operations, contributing directly to the success of strategic and clinical initiatives across the division.

We are seeking a confident, enthusiastic and organised individual with excellent interpersonal and communication skills. You will have a proven track record in administrative or PA roles—ideally within a healthcare or similarly complex setting—and will thrive when working under pressure with competing priorities.

You’ll need to be proactive, adaptable, with a sharp eye for detail and a passion for supporting high-quality patient care.

Main duties of the job

Main Duties of the Role:

  • To provide a full and comprehensive secretarial and administrative service, including typing of correspondence, reports, letters, minutes and other documents as required.
  • To co-ordinate formal meetings and functions on behalf of team members, in addition to preparing agendas and relevant enclosures from information received.
  • To attend meetings on across multiple sites and take, produce and circulate accurate complex minutes within an agreed time. Maintenance of personal & electronic files.
  • To maintain on a daily basis an effective diary system, electronically as required by the Integration Team ensuring good practice and efficient use of working time. This may require use of tact and sensitivity to negotiate an agreement when dealing with large groups of senior staff and/or external staff.
  • To liaise effectively with a range of staff including outside agencies and wider partners in order to ensure sound communication within the department/teams.
