Job overview

The post holder will be required to provide a professional, efficient and comprehensive reception service in the eye clinic situated in the outpatient department.

Using an advance level of computer skills the post holder will navigate Patient Administration Systems, perform data input and take an active role in departmental audits.

The role requires the ability to work under own initiative and under pressure, demonstrating the ability to multitask.

The role requires close liaison with other disciplines and the provision of a courteous, reliable and high quality service to patients, relatives and carers, healthcare professionals, internal departments and outside organisations.

To Provide administrative support to the Ophthalmology Triage team

To be aware of the Health and Safety aspects of staff and patients and to promote a safe environment to work in.

Main duties of the job

  • Greet patients at the reception desk and register their attendance on the patient administration system and re-appoint within agreed guidelines.
  • Ensure all patients demographic and G.P details are correct, updating systems as necessary
  • A good understanding of patient pathways and time frames is essential
  • To use fax, photocopier and shredder as required.
  • Maintain high standards of record keeping ensuring entries are accurate and legible.
  • Use a variety of communication methods to deal effectively with patient and colleagues throughout the Trust. Liaise with and support the multi-disciplinary team including outside agencies i.e. GP’S Opticians etc.
  • Maintain confidentiality and ensure that secure systems are in place for the storage of data,
  • Organise additional support patients may require for their appointments, i.e. interpreters, link workers specialist equipment.
  • Use resources efficiently and effectively
  • Track location of patients notes.
  • Deal with all enquiries in a sympathetic and professional manner using tact and diplomacy.
  • Access and print clinic lists.
  • Demonstrate/teach own duties to new and less experienced staff
  • Be able to respond in a calm manner to the ‘unexpected’ events that occur on a daily basis, therefore demonstrating adaptability and a good, logical and rationalised thought process and be a role model to those less experienced.
  • Maintain positive relations with secretarial and medical record staff in order to provide a seamless service to all patients
