Job overview

The upcoming implementation of Epic EPR has enabled an exciting opportunity to join our friendly and patient focused breast care team across Colchester and Ipswich Hospital to cover a secondment. You will be based at either Colchester or Ipswich with a requirement to travel between sites on a weekly basis depending on the needs of the service. You should be an experienced medical secretary that is highly motivated and proactive who has experience of working within a multidisciplinary team.

You will manage the administrative functions of the Breast Service as well as the management of the theatre diary, processing Electronic referrals, audio typing of clinical dictations and support with data quality queries.

If you are an excellent communicator, able to manage your own workload and have the ability to calmly prioritise tasks when faced with conflicting deadlines then this could be the role for you.

This post is 37.5 hours per week, which can be worked over 4 or 5 days, however one of these days will need to be a Friday. This post is fixed term / secondment until 31st March 2026. Internal applicants currently employed by ESNEFT will be offered on a secondment basis only.

Main duties of the job

  • Audio typing of variety of clinical documentation the digital dictation system (BigHand) and reports using Microsoft Word within agreed timescale.
  • Opening and processing incoming mail, ensuring that all results are passed to the Consultant or Nurse Specialist and updating internal results spreadsheet.
  • Undertaking all necessary administration following receipt of results and following procedure for booking follow up appointments in conjunction with the Outpatients Booking Team.
  • Liaise with booking clerks to ensure that patients are added to the waiting list within agreed standards and undertake administration of patients on the waiting list as and when required.
  • Mange all aspects of theatre booking process, including ordering implants, booking Isotope appointments, managing offers on electronic patient offers.
  • Dealing with incoming telephone calls from patients/relatives/GP surgeries/other departments within the Hospital/outside organisations, independently dealing with or passing on queries/messages to the Consultant and other staff.
  • Keeping Consultants' diaries, including arranging appointments with representatives from Pharmaceutical companies.
