Job overview

We are seeking an enthusiastic receptionist to work within our busy Maternity Reception Department. The Maternity Reception Department operates on a 24/7 basis, which plays a key role in the smooth running of the entire service, both at Derriford Hospital and the numerous Community Midwifery Bases. The applicant will provide a comprehensive admin service to the department and assist the clinical staff in the reception of patients and visitors to the Department. The post holder will liaise with patients and their families, midwives, midwifery support workers, matrons, and other senior managers to support the provision of high-quality care. This is in addition to working in collaboration with staff in other areas of the care group and the wider care groups within the trust to facilitate and streamline services for patients. This is a part time position, at 23 hours per week, completed over 2 shifts per week (on average). Nightshift working will feature, to be discussed at interview (normally between 1-4 per month depending on current rota gaps), and carry an enhanced rate of pay against the advertised pay rate. We work to a 4-week rota, which provides good structure and flexibility, and allows the post holder to pick up extras to cover annual leave and sickness as and when required.

Main duties of the job

Provide and deliver a high standard of a full clerical service to the department using a varied range of work procedures, many of which are non-routine, requiring a level of theoretical proven knowledge.

Detailed job description and main responsibilities

  • Take part in the Maternity Reception rota to cover 24/7
  • Answer the Message Handling Telephone and refer calls to the relevant member of staff as appropriate. When responding to these calls, be able to use own initiative and make appropriate decisions.
  • Provide administration and reception duties (booking appointments for clinic, classes, tours, inductions and operations)
  • Answer telephone queries from G.P.’s, patients and visitors
  • Receive and deal with confidential telephone enquiries
  • Receive and distribute mail accordingly
  • Prepare hospital notes for outpatient clinics and preparing inpatient notes.
  • Perform clerical duties as required, e.g. filing notes/reports
  • Registering new patients (including new borns) on to iPMS, ensuring double registration does not occur.
  • Booking clinics (when required) and inputting other clinical data as required
  • Tracing and ordering patients’ notes using iPMS
  • Provide a point of contact as stated within the Trust’s major incident plan
  • Record patients’ clinic outcomes
  • Admit, transfer and discharge patients using iPMS
  • Keeping SALUS up to date with patients and ward information
  • Administer lone working policy for children’s community nursing team during out of office hours
  • Maintain the midwifery bank as instructed
  • In line with Trust procedures able to use initiative and contact appropriate department for urgent situations eg, call cardiac arrest team/call security
  • Required to cover colleagues during times of absence
  • Ensure patients and visitors to the Maternity Unit are greeted in a professional manner
  • Follow procedure for requesting transport
  • To assist line manager in training other members of staff, as requested and cover opposing areas if needed
