The post holder will be required to work within the Nottingham University Hospital’s Haematology Department at the City campus and take responsibility for: managing the  day case waiting lists  in accordance with the Trust waiting list targets, and handling associated telephone calls.

You will have an understanding of Waiting lists . You will also be able to prioritise your workload with constantly changing demands, meet agreed deadlines and use your own initiative.

This includes ensuring referrals are dealt with in a timely manner and dealing with enquiries from patients and clinicians both in person, email and on the phone.

Knowledge and experience of Bookwise would be advantageous.

A good telephone manner with the ability to show initiative and flexibility in answering queries from patients, nursing staff and doctors is essential as well as an efficient and empathetic manner.

You will be based in a Day Case reception setting and have patient face to face contact on a daily basis.

Main duties of the job

Responsible for adding/removing patients to the NUH waiting list and co-ordinating/booking admission to hospital, using hospital IT systems, e.g. Medway PAS and Bookwise.

Act as the first point of contact within the Trust for patients who have enquiries regarding admission details and waiting list queries, liaising either in person, telephone, email

Responsible for maintaining accurate records to ensure all admissions for elective procedures are outcomed and completed on Medway PAS, in line with the Trust Access Policy.

Detailed job description and main responsibilities

Responsible for adding/removing patients to the NUH waiting list and coordinating/booking their admission to hospital, using hospital IT systems e.g. Nervecente/Bookwise.

Ensure patients are added to correct waiting lists using hospital standard operating procedures, Nervecentre

Working to agreed protocols to negotiate patient admissions for day case procedures.

Provide appropriate confirmation of TCI to patient, along with any relevant supporting information.

Ensure all relevant patient information is recorded on the Trust’s IT systems and updated accordingly in line with Trust Access Policy and Procedures.

Ensure RTT patient data is accurate at all times

Produce admission lists for nurses.

Act as the first point of contact within the Trust for patients who have enquiries regarding admission details and waiting list queries, either by email,, phone or face to face.

Ensure adherence to the Trust Waiting List Policy with regard to National and Trust Targets for waiting times.

Provide non-clinical advice regarding hospital admission to patients seeking further advice from the Consultants or lead nurses as required.

Be responsible for adherence to the Trust Access Policy with regard to National and Trust Targets for waiting times

In conjunction with the appropriate managers, liaise with external healthcare providers to facilitate the timely admission of patients.

Be responsible for identifying potential breaches against Trust waiting list targets, and taking timely and appropriate action to avoid the breach.

Liaise with clinical staff to ensure the availability of any specialist equipment as required.

Work flexibly and provide cross cover for colleagues in the Directorate.

Undertake any other duties and responsibilities, which may reasonably be required.

Deputise for the Waiting List Coordinator where appropriate

Participate in appraisals and personal reviews and work to achieve agreed set objectives.
