Job overview

We are looking for an enthusiastic and dedicated candidate to join our committed team at Chelsea and Westminster Hospital NHS Foundation Trust. This is a unique opportunity to bring your leadership and passion for women’s health services to a role that directly shapes the future of cervical screening and gynaecology care. If you're ready to make a meaningful impact in a dynamic and supportive environment, we’d love to hear from you.

As the Gynaecology / CSPL Admin Support Manager, you will provide both operational and strategic support to the Gynaecology service, with a particular focus on the NHS Cervical Screening Programme (NHSCSP). Working closely with the Clinical Specialty Programme Lead (CSPL), you will help deliver high-quality, safe, and effective cervical screening services, ensuring compliance with national standards and performance targets.

You will be responsible for managing a team of administrators, ensuring that all administrative processes are efficient, effective, and aligned with Trust values. This includes overseeing recruitment, induction, training, and performance management, as well as ensuring delivery against key performance indicators (e.g. RTT, Cancer Pathways, GIRFT).

Main duties of the job

  • Lead and manage the Gynaecology admin team, including recruitment, training, and performance.
  • Provide operational support to the NHS Cervical Screening Programme (NHSCSP) and ensure compliance with national standards.
  • Coordinate data collection, audits, and mandatory meetings in collaboration with the CSPL.
  • Monitor and report on key performance indicators (RTT, DM01, Cancer Pathways, GIRFT).
  • Act as a key liaison between clinical teams, pathology services, and external screening bodies.
  • Support service improvement initiatives and maintain high standards of patient care and administrative efficiency.

Detailed job description and main responsibilities

Operational Management

  • Oversee day-to-day operations of the Gynaecology service, including colposcopy and cervical screening.
  • Manage Patient Tracking Lists (PTLs) and ensure timely validation to meet RTT and cancer targets.
  • Monitor turnaround times for clinical correspondence and results.
  • Provide regular reports on service performance, training, and KPIs.
  • Support audits, data collection, and external accreditation processes.
  • Act as a key resource for data analysis and service evaluation.

Leadership and Team Management

  • Lead and manage the administrative team, including recruitment, induction, training, and appraisals.
  • Ensure adherence to Trust policies and national standards.
  • Manage complex patient queries and complaints in line with governance procedures.
  • Coordinate team meetings, maintain staff records, and address performance issues.
  • Support cross-cover across clinical admin teams and champion new technologies.

Clinical Office Responsibilities

  • Ensure referrals, bookings, and clinic templates meet national access targets.
  • Liaise with clinical teams and external providers to support patient pathways.
  • Maintain accurate records of clinic activity and cancellations.
  • Lead on waiting time and capacity reporting, and support PAS developments.

CSPL Support

  • Assist the CSPL in coordinating cervical screening services and audits.
  • Ensure compliance with NHSCSP standards and support the Cervical Screening Annual Report.
  • Liaise with off-site screening services and laboratories.
  • Organise and minute key meetings, and manage external audit requests.
