GP Receptionist/ Administrator - Aberbeeg Medical Practice

An exciting opportunity has arisen for a GP Receptionist/ Administrator to join the Practice Team at Aberbeeg Medical Practice.

The post holder will play a crucial role in supporting the multidisciplinary team and ensuring the smooth operation of the practice.

Responsibilities will include greeting and directing patients, managing the appointment system, booking appointments, processing personal information, and assisting patients as needed.

Act as the central point of contact for patients, distributing information, messages, and enquiries to the clinical team, and liaising  with external agencies such as secondary care and community service providers.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

  • Maintain and monitor the practice appointment system
  • Process personal, telephone, and electronic requests for appointments
  • Answer incoming phone calls and address callers' requests appropriately. Responding to queries escalating when necessary
  • Signpost patients to the correct service
  • Initiate contact with and respond to requests from patients, team members, and external agencies
  • Organises patient appointments

  • Maintain and monitor the practice appointment system
  • Process personal, telephone, and electronic requests for appointments
  • Answer incoming phone calls and address callers' requests appropriately. Responding to queries escalating when necessary.
  • Signpost patients to the correct service
  • Initiate contact with and respond to requests from patients, team members, and external agencies
  • Organises patient appointments
  • Enter data for new and temporary registrations and relevant patient information
  • Input data into patients' healthcare records as necessary
  • Direct requests for information to relevant team members (e.g., SAR, DVLA forms, insurance/solicitors’ letters)
  • Manage all queries efficiently
  • Conduct system searches as requested
  • Support clinical staff with general tasks as required
  • Photocopy documentation as needed
  • Maintain a clean, tidy, and effective working area
  • Monitor and maintain the reception area and notice boards
  • Action incoming emails and correspondence as necessary
  • Complete opening and closing procedures according to the rota
  • Participate in audits as directed by the audit lead
  • Provide cover for the reception/admin team during absences
  • Scan patient-related documents and attach them to patients’ healthcare records
  • Follow departmental and ABUHB policies and procedures
