We are seeking a proactive team member to work with in the Estates Team maintaining the Trust maintenance System, dealing with site visitors, Contractors and Trust service users, working alongside our Operations Technical and Capital Team.
Provide administrative support to a team of Estates Officers under the supervision of the Estates General Manager. Duties will include:
Raising, Progressing & Data Entry of Maintenance Requests on Concerto software ~ including customer liaison via phone & email.
Collation of hard & soft copy information from Contractors & inputting data into Concerto software.
Providing a procurement function for Parts & Consumables; this will involve rising & Receipting Oracle Requisitions for Estates Officers.
Administration of Improvement Requests & Variations ~ including customer liaison via phone & email.
Processing & filing documentation & drawings in accordance with Departmental procedures.
Daily liaison with a team of Estates Officers (10 approx.) & Operational Team Members (20 approx.)
Taking Minutes for internal meetings
Maintaining Estates records both electronically & in hard copy ensuring an orderly, user-friendly system is achieved & archiving as required.
