Our Estates & Facilities Directorate plays a vital role in supporting the delivery of safe, high‑quality care across Torbay and South Devon. With around 600 staff working across all Trust sites, our teams ensure that every clinical service has the safe, efficient and well‑managed environments it needs to thrive.

As our Business Administrator, you will provide high‑quality administrative, secretarial and office‑management support to the EFM Director and Senior Leadership Team. You’ll be a key point of coordination within a busy, fast‑paced directorate — helping us stay organised, compliant and responsive. This is an excellent opportunity for someone who is proactive, highly organised and passionate about supporting others to deliver outstanding services.

Main duties of the job

  • Directorate Office Management — Responsible for the smooth running of the EFM Director’s office, ensuring efficient organisation, communication and workflow.
  • Executive Support — Provide comprehensive secretarial and administrative support to the EFM Director and Senior Leadership Team, including diary management, meeting coordination and preparation of documentation.
  • First Point of Contact — Act as the initial contact for internal and external enquiries, handling messages and queries confidently, sensitively and professionally.
  • Governance & Coordination — Support key governance processes, assist with the preparation of reports, and ensure timely follow‑up of actions.
  • Team Support — Work collaboratively with other EFM Business Administrators, providing cover and support when required.
  • Stakeholder Liaison — Build effective working relationships with Executive Directors, senior Trust colleagues, local authorities, ICBs and external agencies.
  • Professional Skills — Use initiative, discretion and excellent organisational skills to manage workload independently and as part of a wider team.
