Job overview

Our Endoscopy Booking Team provide a safe, personal & effect booking service to all patients referred for a Lower and/or Upper GI Endoscopy procedure. Patients are referred either internally from our Outpatient/Inpatient/Emergency pathway or Directly from GP's via our Direct to Test Upper GI Service on the eReferral System (eRS) The post holder will work as part of a wider team and will be responsible for the management and accurate and timely administration of waiting lists in accordance with the Access, Booking and Choice Policy, liaising directly with clinicians, nurses, administrators, directorate staff and patients, whilst ensuring waiting list targets are achieved and confidentiality is met at all times.

Main duties of the job

  • Each clerk is responsible for the management of Endoscopy waiting lists and working as part of a team within the particular speciality.
  • Add selected patients to the waiting list using the computerised Patient Administration System, ensuring all patients are listed with the accurate procedure and booked admission codes.
  • Complete and forward letters and health check questionnaires to patients who have been added to the waiting list. On receipt of the returned questionnaires update the Patient Administration System with all relevant data.
  • To be the first point of contact for all patients added to an inpatient, day case and selected out- patient waiting list.

Detailed job description and main responsibilities

A good understanding of time frames involved in all invasive procedures is necessary to ensure the case mix booked for theatre lists is appropriate, once training is complete.

Liaise with Endoscopy staff regarding the availability of specialist endoscopy equipment

Liaise with different specialty consultant teams for patients requiring dual procedures during one operation, which after initial training requires an understanding of medical procedures

Arrange pre-operative assessment appointments for patient’s where necessary ensuring all relevant documentation is requested and available for the nurse. Update the Patient Administration System with information regarding the patient’s current medication and deliver instructions accordingly

Issue patients with a confirmation letter related to their operation ensuring appropriate and accurate documentation and information regarding their treatment is enclosed.

Forward pre determined appropriate medication to patients for procedures prior to admission.

  • Ensure online booking diaries and other records are kept up to date and accurate.

Produce a weekly management report in order to monitor figures and highlight to the consultant any potential medical problems with patient’s or patient’s who have no set date for admission and could become a potential breaches in line with current government targets.
