Job overview

Following a staff shuffle and a successful bid to expand our Consultant Team, we invite candidates with demonstrable administrative and customer service skills, to join our team in Women's Services to support the Gynaecology Team.

The post is based in a large admin office, predominantly supporting  Consultants who have input into General Gynaecology and Urogynaecology as well as Termination of Pregnancy and Suspected Cancer. You will support patients at all stages of their pathway therefore we are looking to attract individuals with a genuine interest in pursuing the best possible care for our patients.

Hours of work include shifts between 8am - 5pm. Job share arrangements are available - with the proviso a 5 day service can be covered between 2 people.

Main duties of the job

As the first point of contact, applicants should have confident customer service skills with an empathetic nature and clear communication.

While working within a small team, you will be expected to work independently – following departmental processes and Trust Policy at all times. Good organisational and time management skills are a must as the team are always on the go with standard day to day tasks, as ad hoc admin requirements pop up.

As a team we are always looking to develop our processes to ensure we are up to date and efficient – therefore we welcome applications from those open to assisting in the development of departmental processes.

Previous administration/secretarial experience in an NHS environment is preferred but not essential as full training will be given. You can expect this to be a mixture of 1-1 training, shadowing, classroom based learning and Teams sessions.

Detailed job description and main responsibilities

You can expect to get involved with the following tasks with other ad hoc duties along the way:

  • Processing clinic/results letters and arranging appropriate follow up in line with standard operating procedures
  • Managing Consultants diaries and arranging clinical activity in line with their availability
  • Preparation and minute taking of Departmental Meetings and Specialist Multi-disciplinary Team meetings
  • Booking appointments
  • General admin - scanning, photocopying, taking calls, emails
  • Provide cover for Team Leader within your administration team as required

Job Purpose • Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team e.g. Specialist Nurses and Therapists • Communicates with patients regarding appointments and admissions at the request of the medical team • Provide cover for Team Leader within your administration team as required • Cover Clinical Administrator posts Trust wide as required.

Please note it is a requirement of The Newcastle upon Tyne Hospitals NHS Foundation Trust that all successful candidates who require a DBS for the post they have been offered pay for their DBS certificate. The method of payment is a salary deduction from your first month’s pay.
