
We are seeking a highly organised and proactive Medical HR Assistant to join our Medical HR team. This is a key role supporting the smooth running of Medical HR processes, ensuring Resident Doctors’ working hours are safely managed, and providing essential administrative support to the Guardian of Safe Working and the Revalidation and Appraisal Officer.
Working 22.5 hours per week, you will play an important part in maintaining rota compliance, managing exception reporting, and contributing to a positive working environment for Resident Doctors across the Trust.
In addition, you will provide support to the Revalidation & Appraisal Officer regarding career‑grade doctor appraisal progress, 360‑degree feedback, and job planning completion, helping to ensure that all relevant documentation and processes are completed accurately and on time.
This role is based at Bath NHS House, with hybrid working available.

To provide high‑quality and comprehensive support to Medical HR Officers, the Medical HR Senior Advisor and the Medical HR Manager, thereby facilitating the efficient operation of the Medical HR service
To provide effective management of the Resident Doctor exception reporting system to ensure that exception reports submitted are managed within the permitted timeframes
To provide support to the Guardian of Safe Working with regards to exception reports, board reports and Junior Doctor forums
To retain an overview of the Resident Doctor e‑rota system, ensuring rotas are compliant in accordance with European Working Time Directive requirements and the safe working hours limits under Schedule 3 of the Resident Doctor 2016 contract
To provide support to the Revalidation & Appraisal Officer with regards to career‑grade doctor appraisal progress, 360‑degree feedback and job planning completion
Support Medical HR colleagues with Resident Doctor rotations, including pre‑employment checks, rota planning and ensuring compliance with the Code of Practice.
Maintain and update the e‑rota system, ensuring rotas are accurate, compliant with EWTD and safe working hours, and available for exception reporting.
Manage the Resident Doctor exception reporting system, including data cleansing, monitoring reports, escalating concerns and supporting the mitigation of Guardian fines.
Provide administrative support to the Guardian of Safe Working, including managing the shared inbox, preparing board reports, organising Resident Doctor forums and supporting induction processes.
Produce audit reports, analyse system data and maintain guidance documents in line with contractual and policy changes.
Raise purchase orders and process invoices relating to Guardian of Safe Working expenditure.
Provide administrative support with regards to appraisals and job planning for career‑grade doctors.
