We are seeking a motivated part-time Band 3 Administrator to undertake administrative and reception duties within the department. You would join our small Audiology administrative team working within our progressive, forward-thinking department which is part of the Elective Care Division.
You will need to be able to prioritise your workload and have good organisational skills. You will possess excellent interpersonal and communication skills to support change for the future whilst maintaining high quality performance across the department.
You will ensure a high-quality delivery of services to patients in accordance with agreed objectives, targets, quality standards, controls and resource constraints.
The post will be based in Warwick Hospital, reporting to the Adult Audiology Services Manager. Please note this role is a part time role of 30 hours per week over 3 days.

- Responsible for the administration and clerical aspect of the Audiology Department patient management systems.
- To work autonomously using your own initiative to organise and manage workload, making decisions relating to planning of Audiology reception duties and administrative duties for Audiology Services, prioritising own workload and adapting to ever changing priorities.
- Managing the workload within the Audiology Department in conjunction with existing Administration & Clerical staff.
- To work as part of the Audiology Services Team, contributing to providing a full administrative and organisational service. This will require working using AuditBase (Audiology Patient Management System), Lorenzo and e-Records.
- Creating patient appointments for all SWFT clinics at Warwick and other external sites on the Hospital patient management system and the audiology database - AuditBase.
- To appoint all booked appointments adult and paediatric clinics, including rescheduling and change of patient details for Warwick, Stratford and Ellen Badger clinics.
- Effectively manage the audiology referrals and book clinics at our audiology lead clinics for audiology acute services ensuring the waiting lists are managed effectively
- To type clinical letters for individual patients and dispatch to relevant health professional, ensuring copies of correspondence are scanned on patient notes.
- Scanning of all referral letters and answering telephone queries regarding all aspects of the service provision.
- Completion of audiology outcomes on patient management system.
- Responsible for ear mould impressions to be sent to manufacturers and receipting them in and organising.
- Liaising with Porters/ambulance services ensuring Audiology patients are collected from the department.
- Be able to use a full range of IT systems for example Word, Excel Office for tasks as required.
- Be able to supervise other administrator and offer advice and support regarding the tasks they are performing.
- To undertake any other duties as required in accordance with the grade and nature of the post
