Job overview

The postholder will work as part of the Corporate Governance Team, led by the Group Chief Corporate Affairs Officer & Company Secretary (CCAO) to provide high quality support, facilitate and maintain administrative arrangements and procedures for the sound corporate governance of each Trust within the Group.

The postholder will support the Group Corporate Governance Team in the provision of company secretarial support and advice to the Trust. The purpose of the Group Corporate Governance Team is to advise and support the Chair, Board of Directors and Council of Governors on all aspects of regulation, corporate governance and effective business conduct for the organisation.

The post holder will be able to to respond effectively to varying demands in workload, and to changes within the organisation at the end of their apprenticeship. As such, they would be expected to learn to adapt quickly when priorities change, to keep track of own work and that of others to ensure it runs to schedule, to support the objectives of the Corporate Governance Team. In achieving this, the post holder would need to demonstrate initiative, a commitment to routine tasks, good time management skills, effective planning for committee papers and efficient organisation of committees and an ability to work independently when required.

Main duties of the job

To support the Group Corporate Governance Team in the provision of company secretarial support, acting as a point of contact for the Team, facilitate meetings, monitor the shared inbox, co-ordinate meetings, process invoices and supplies and manage the Trusts Public Membership.

Detailed job description and main responsibilities

To provide full administrative support to the Group Corporate Governance Team. Act as a point of contact as part of the Group Corporate Governance Team.

To facilitate meetings within the Trust’s corporate governance structure.

To monitor the Corporate Governance Inbox and action emails as appropriate.

To attend and minute specified meetings and accurately and appropriate record discussions and decisions taken.

To co-ordinate meetings, booking rooms and refreshments where necessary, ensuring that appropriate equipment is available.

To organise and co-ordinate events / conferences as required.

To ensure visitors to the office are received in a welcoming and professional manner.

To deal with all queries, correspondence, telephone calls internally and externally in a timely manner, initiate action where possible and report action as appropriate. Employ initiative and ensure that messages and actions are prioritised and brought to the attention of the relevant member of the Corporate Governance Team as appropriate, with any relevant supporting information.

To Coordinate agendas, collate, distribute supporting papers for meetings and produce accurate minutes or actions as required.

To process invoices on the Trust’s procurement system on behalf of the Corporate Governance Team.

To order supplies as required on behalf of the  Team.

To manage the Trust’s Public Membership on the database system.
