Job overview

Responsible for ensuring the effective and efficient day to day running of the Central Administration function of Retinal Screening Service working closely with the Retinal Screening Manager, Failsafe Officer and Snr screener grader and liaising with all members of the retinal screening team.

Responsibility for the maintenance of our bespoke software database and be the first point of contact for telephone enquiries from patients, carers, GP Practices with whom you will be required to liaise, along with Consultant Ophthalmologists and Diabetic specialists in all areas, screening teams and treatment centres to ensure data base accuracy.

The post holder is required to understand the policies, procedures and principles of diabetic eye screening and the wider field of health screening.

Main duties of the job

Maintain an accurate and up-to-date register of patients with diabetes requiring retinal screening, based on referrals from GP’s and Diabetic Consultants along with information obtained from GP2DRSS to prevent any diabetic patients not being referred to the service. Use of Optomize, E-camis, Evolve & medi-sight, NHS Spine. Using all systems with confidentiality, sensitivity, and precision. Ensure that all patients have their eyes screened annually unless earlier recall is indicated. Actively participate in the ongoing development and evaluation of the service SOPS, keeping them as up to date as possible. Send screening results to all patients, GP’s and diabetologists, keeping within the agreed turn round times. Attending departmental MDT meetings and providing feedback to all staff in a positive manner Deal continuously with a high volume of telephone calls and multi-tasking.  Maximise efficient use of clinic capacity, appointing patients into appropriate clinics such as Slit Lamp or OCT. Enquiries from GPs, Consultants, and service users, passing enquiries of a medical nature or complaints to the appropriate people. Manage difficult situations over the phone and use own judgement to determine the urgency of a call and direct to the most appropriate person. Support in participation of audit and the collection of data to produce the annual report for Cohorts of patients that are unsuitable for screening.
