Job overview

The Lung Cancer Screening Administrative Assistant will provide reception and routine administrative support to the Lung Cancer Screening Program, ensuring a professional, efficient, and patient-focused service.

The post holder will support patient booking, communication and administrative processes to enable patients to access Lung Health Check appointments and Low Dose CT scans in a timely and organised manner.

The role focuses on following established processes, maintaining accurate patient records, and supporting patient flow through the administrative stages of the pathway.

This role does not include clinical assessment or risk calculation. All clinical decisions and risk-based assessments will be undertaken by trained Patient Contact Assessors (Band 3) or clinical staff.

The post holder will work as part of a wider multidisciplinary team, supporting patients from a range of backgrounds and ensuring clear, compassionate communication at all times.

The service operates six days a week, and this role requires working shifts:

Monday – Friday: 8:00 – 20:00 Saturday: 9:00 – 13:00

Main duties of the job

  • Contact patients to confirm, book and rearrange Lung Health Check and CT scan appointments in line with agreed processes
  • Provide clear and consistent information to patients using approved scripts and guidance
  • Respond to routine patient queries and escalate clinical or complex queries to the appropriate team member
  • Identify practical barriers to attendance and escalate where appropriate
  • Manage Did Not Attend (DNA) appointments in line with service protocols
  • Support patients from diverse backgrounds, including arranging interpreter services where required

A full UK driving license is essential for this post. Please note that an international driving license is not accepted.

Secondment will be considered for internal candidates – If you are successful after interview, you must obtain approval from your current line manager to accept the offer.

  • Accurately input and update patient data on EPR and Patient Administration Systems (PAS) in line with Trust guidelines
  • Maintain accurate patient records, ensuring a high level of attention to detail
  • Monitor the Lung Cancer Screening inbox and respond or escalate in line with agreed protocols
  • Maintain electronic and manual filing systems as required
  • Support general administrative tasks to ensure the smooth running of the service
