The Access Administration Specialist plays a key role within the Corporate Access Team, providing a specialist administrative and advisory service to support the Trust in achieving national and local Access targets, particularly Referral to Treatment (RTT).
The post holder will lead on patient pathway validation, ensuring data accuracy, compliance with RTT rules, and the timely escalation of risks to maintain patient safety. They will also act as a subject matter expert, offering guidance to colleagues across the Trust on complex pathway queries.

Main duties of the job
- Validate and manage RTT and non-RTT patient pathways, ensuring compliance with national standards identify and escalate breaches, risks, and data quality issues.
- Monitor and support delivery of Access targets, including RTT, diagnostics, and cancelled operations.
- Provide expert advice and real-time guidance to staff on pathway management
- Ensure patients are correctly tracked within Planned and Post-RTT pathways
- Build strong relationships with key departments to support performance and service delivery
- Support training, guidance, and consistency in line with Trust policies and SOPs
Detailed job description and main responsibilities
The post holder will play a key role in supporting the Trust to achieve national and local Access targets, with a particular focus on Referral to Treatment (RTT). They will act as a subject matter expert, ensuring patient pathways are accurately managed, validated, and aligned to national guidance.
RTT Expertise and Pathway Management
- Demonstrate expert knowledge of 18-week RTT rules, Planned Waiting List rules, and Post-RTT follow-up standards, applying these to manage patient pathways in line with national and local policies.
- Act as a front-line RTT expert for the Trust, providing guidance and support to operational teams.
- Ensure Trust systems are updated with accurate RTT and non-RTT status codes by interpreting clinical information (e.g. clinic letters) and applying the correct pathway amendments.
Performance Monitoring and Validation
- Support, analyse, investigate, validate, and monitor patient pathways, identifying and escalating patients at risk of breach.
- Conduct regular validation and audit activity to ensure pathways are accurate and compliant, escalating ongoing issues where required.
- Complete in-depth validations for complex pathways and use findings to drive learning and improve patient pathways and outcomes.
- Promote a “get it right first time” approach to data quality and validation, ensuring accuracy, timeliness, and completeness of records.
Training, Support and Communication
- Act as a senior point of contact for RTT queries, managing enquiries via helpline and email, ensuring timely, accurate, and professional responses.
- Identify training needs and provide guidance, and support to staff to improve data quality and pathway management.
- Ensure adherence to the Elective Care Access Policy and promote best practice across the Trust.
- Maintain clear and effective communication with operational teams, and colleagues to support patient care.
Service Improvement and Modernisation
- Contribute to the Trust’s elective care and modernisation agenda, supporting improvements in quality, efficiency, and productivity.
- Work collaboratively with colleague and teams to analyse and improve pathway processes.
- Participate in project work, including validation exercises, audits, and improvement initiatives, supporting the “prevent, correct, and clear” model.
Systems, Processes and Administration
- Utilise Trust systems effectively, including but not limited to: EPR, PPM, Medisoft, Medisight, CRIS, Solus, Pathway Tracking Apps, and ERS.
- Develop and maintain efficient office systems and administrative processes, including reference guides and validation support.
- Liaise with colleagues and wider teams to coordinate care and expedite patient pathways.
