### Job overview

We are looking for a motivated and organised Ward Clerk to join our Maternity Administration Team. Based primarily within Maternity Triage and Maternity Assessment Unit (MAU), you will provide a welcoming reception service, support patient flow and act as the first point of contact for women, families and healthcare professionals. This is a varied and rewarding role where you will play an important part in supporting safe, effective maternity care and ensuring patients receive a positive experience from the moment they arrive.

### Main duties of the job

- Provide a welcoming and professional reception service for women and families attending Maternity Triage and Maternity Assessment Unit (MAU).
- Act as the first point of contact for patients, visitors and healthcare professionals in person and by telephone.
- Register patient attendances and maintain accurate electronic patient records.
- Support patient flow by communicating effectively with clinical staff and escalating concerns where appropriate.
- Maintain a visible presence within the reception area and support the safe monitoring of patients awaiting assessment.
- Manage patient documentation, correspondence, shared inboxes and routine administrative tasks.
- Liaise with multidisciplinary teams to support the smooth and efficient running of the service.
- Ensure confidentiality is maintained and information is handled in accordance with Trust policies.
- Provide administrative support across maternity services as required to meet service needs.
- We are looking for someone with excellent communication and IT skills, strong organisational abilities, attention to detail and the ability to remain calm and professional in a busy environment.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

### Knowledge and Experience

**Essential**

- Minimum of 6 months previous experience in an administrative or clerical role.
- Experience working directly with the public.
- Understanding of confidentiality and data protection requirements.
- Experience working in a busy environment with competing priorities.

**Desirable**

- Experience within the NHS or healthcare setting.
- Knowledge of maternity services.
- Experience using NHS systems including IPM, E3, CRIS or similar.
- Understanding of patient pathways and appointment processes.

### Education and Qualifications

**Essential**

- GCSE Grade 4/C or above in English and Mathematics or equivalent qualification.

**Desirable**

- NVQ Level 2/3 in Business Administration or other relevant subject or admin qualification.
- ECDL or equivalent IT qualification.
