We are recruiting a full time Ward Clerk to provide administrative support for our multi-disciplinary team on Allen Ward, Warneford Hospital.

Allen Ward is a 18 bedded female acute working age mental health ward, located in Headington, Warneford Hospital. We care for women between the ages of 18 - 65 with acute and chronic mental illness, along with social and physical health challenges.

You'll be managing correspondence, maintaining records, coordinating meetings, and be the first point of contact for internal and external queries. Your excellent organisational and communication skills will be essential in managing office systems, handling patient information confidentially, and ensuring all documentation is up to date. You will also be involved in ordering supplies, arranging transport, and assisting with staffing coordination.

### Main duties of the job

- Forwarding referrals prepared by clinicians to internal and external teams taking into consideration confidentiality and sensitive data management. Liaising with external providers/health care teams to ensure correct processes are in place in line.
- Answering the telephone, taking messages and helping with enquiries
- Taking minutes, typing and distribution for staff/patient meetings as required.
- Provide flexible cover for other members of the administration team when required.
- Responsible for office and clinical equipment’s maintenance; report to IT department or clinical device maintenance company for any maintenance, fault and repairs as required.
- Requesting and sending patients’ notes and discharge summaries as required.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
