The reception team consists of a number of receptionists on the rota.

About the role:

We are looking for enthusiastic Receptionists to undertake responsibility for maintaining the security of the reception area. You will act as the first point of contact for visitors and liaison with the unit teams.

### Main duties of the job

The post holders will provide operational implementation of the security policy in a Medium and Low Secure Unit.

The post holders will provide excellent customer care and deal professionally with patients and staff alike .

Post Holders will be working both day/night but predominately night shifts including weekends. 22.0 hours per week

### Detailed job description and main responsibilities

- To maintain accurate log of all personnel entering and leaving the unit, including the monitoring of keys and Ascom communication device to staff using the Traka key management system.
- To work closely with the nurse shift co-ordinators to ensure smooth running of the shift, e.g. sharing information on anticipated admissions, visits, discharges and other movements.
- Assist with the co-ordination of actions in the event of a fire or similar emergency situation.
- Assist with general administrative tasks including: filing, scanning, shredding, post, notices, faxes, and collecting general statistical data.
- To maintain an up-to-date and accurate computerised and manual filing system.
- Responsible for synchronising of the Traka key management system during night shifts, ensuring the system is up to date and running effectively.
- Manage the initial and final stages of the visitor’s policy. Checking visitors’ ID, signing them into the visitor’s log, allocating keys and passes. Informing relevant staff of their arrival or escorting visitors to designated areas.
- To promote and carry out duties that ensure the unit functions efficiently and effectively, acting at all times in a professional manner.
- To maintain professional standards of behaviour and conduct and promote pro-social modelling.
- Participate in supervision of self and assist with the induction of staff
- Attend and participate in reception team meetings.
- To undertake any other duties appropriate to grade as requested by senior staff.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

## Person Specification

### Experience

**Essential**

- Skilled within a receptionist/front of house position
- Worked within the NHS or a similar complex customer focused organisation

**Desirable**

- Experience of working in a NHS environment, ideally in a mental health setting.

### Qualifications

**Essential**

- Good standard of general education including a pass at Maths and English Language-GCSE or equivalent
- Able to communicate clearly, verbally and in writing
- Good word processing and computer skills
