### Job overview

We are looking for a professional, motivated and organised Team Secretary to work within our North Administration Team based at Ferham Clinic.  The post holder will provide an efficient, effective and confidential senior admin support service to the Community Mental Health Teams.

The successful applicant will support the Clinical Team recording new referrals, minuting referral meetings, and book appointments within our local performance targets.

Please note, this Band 3 role is not eligible for sponsorship/visa.

If you don't already have a Level 3 qualification or equivalent experience in a relevant subject, RDaSH are offering this post alongside the opportunity for you to complete a Level 3 apprenticeship qualification \[relevant to your role\].

As an apprentice within RDaSH you will be given the opportunity to gain experience, learn work-related skills and obtain all the tools needed to thrive.

An apprenticeship includes regular training with a college or other training organisation. Around 20% of your working hours will be spent training or studying. This leads to a nationally recognised qualification.

Whether you already work for us or are joining the Trust and NHS for the first time, apprenticeships can help you to develop the skills, knowledge and know-how in order to embark on a successful and fulfilling career within the health service.

### Main duties of the job

The post holder will be the initial liaison contact for staff and deal with referrals, correspondence and the effective dissemination of information.  Participate in ensuring priority of the Admin work, including booking appointments and clinic rooms. Note taking of multi-disciplinary meetings, ensuring actions are communicated. Support the Administration Manager and Development Support Team on monitoring data quality issues and data cleansing.  Please read the attached Job Description and Person Specification for more details.

### Skills

**Essential**

- Possess excellent verbal and written communication, negotiation and presentation skills and the ability to employ these skills to maintain effective relationships
- Ability to work as part of a team or on own initiative and unsupervised at times
- Ability to work under pressure, prioritise work and to strict deadlines
- Flexible and adaptable approach.

### Knowledge

**Essential**

- Knowledge and experience of using Microsoft Office applications e.g. Outlook, Word and Excel

### Experience

**Essential**

- Demonstrate experience of working in a busy environment, office procedures, and workload management
- Experience of office procedures, i.e. filing, photocopying, message taking, typing. Experience in accessing internet / electronic systems
- Experience of liaising with staff across different disciplines
- Thorough understanding of confidentiality and security of information.
- Previous NHS experience or other large public sector organisation would be an advantage

**Desirable**

- Experience of supervising and coaching team members
- Experience of electronic patient record system such as SystmOne would be an advantage

### Qualifications

**Essential**

- Educated to Apprenticeship or NVQ level 2 or equivalent in appropriate subject e.g. Business Admin.
- NVQ level 3 in related subject or willingness to undertake a relevant Level 3 Apprenticeship.
- Good standard of education (minimum 3 GCSEs, including English and Maths or equivalent desirable).
- RSA II Typing, Word Processing or IT qualification or relevant experience
