### Job overview

We are looking to employ a hardworking, conscientious individual who will work as Team Administrator, part time - 22.5 hours within the HHR Perinatal Team based at North Moor House in Northallerton

The successful candidate will be required to provide comprehensive administrative services to the HHR Perinatal Team, including dealing with both incoming and outgoing telephone calls, booking appointments, managing busy central team inboxes, uploading patient referrals in a timely way, ordering stationary and travel bookings as well as general office duties.

You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.

### Main duties of the job

The successful applicant will ideally have an awareness of mental health issues and will be able to demonstrate a caring and sensitive approach to their work.

They will have an eye for detail, be organised and work to a high degree of accuracy whilst in a very busy role.

As a team player, you’ll be able to be flexible and also prioritise your work in order to meet deadlines and have a customer focused approach. Previous experience of working within the NHS is desirable but not essential, as full training will be provided.

Excellent communication skills, both verbal and written coupled with proven secretarial skills and previous experience is essential. They will be able to effectively and clearly communicate with colleagues, service users and their families.

You are required to have a Level 3 qualification in relevant field or equivalent experience or willingness to work towards Level 3 in Business Administration and key skills/functional skills in literacy and numeracy Level 2. Experience of working in a busy administrative environment and be proficient in the use of MS Office with experience of patient records systems is required.

### Applicant requirements

## Person Specification

### Knowledge

**Essential**

- Comprehensive knowledge of Microsoft Office applications.
- Understanding of data protection and the need for confidentiality and how to maintain this.
- Knowledge of office systems and processes.

**Desirable**

- Knowledge of NHS systems

### Experience

**Essential**

- Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute talking, data input, collating and presenting information).
- Customer Service experience (face to face, answering calls, correspondence).
- Experience of organising completing demands and workloads.
- Experience of setting up and maintenance of administrative systems and processes.
- Experience of working autonomously and proactively

**Desirable**

- Experience of supporting/supervising staff.
- Experience of handling monies and working within financial guidelines.

### Qualifications

**Essential**

- Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 in Business Administration
- Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are an essential requirement to be fully competent in the role. Where an applicant does not have the above qualifications or are unable to provide evidence of the certification, the applicant MUST achieve the required standards during their probationary period.

**Desirable**

- Level 3 in Business Administration.
- RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
