### Job overview

We’re seeking a proactive and motivated Band 3 Administrator to support the Specialist Perinatal Mental Health Team across the CWP footprint. This role is vital to smooth service delivery, supporting both staff and service users. You’ll provide flexible cover across teams, handling telephony, diary management, audio typing, ordering supplies, managing data both recording and analysing and line management responsibilities.

This post is full time and hours will be within the core business hours of the team.

The Trust currently supports the Real Living Wage (RLW) hourly rate as set by the Living Wage Federation and will apply a pay supplement if the National Agenda for Change hourly rate falls below this.

### Main duties of the job

To be responsible for inputting, maintaining and retrieval of information from relevant databases

Attend to team and personal email inbox correspondence appropriately.

Liaise with all staff in department to ensure systems and process are up to date and in line with Team requirements.

Make or change appointments on behalf of the Team and ensure that relevant documentation is available.

Ensure that efficient communications between the Team and other relevant agencies are maintained.

Compose routine/non-routine documents when necessary.

Maintain regular contact with the Team throughout the day when necessary. Exercise independent judgement and initiative based on acquired knowledge if problems arise.

Attend meetings and produce minutes and agendas.

Establish good levels of communication/liaison with departments and other services.

Make full use of information technology and co-operative in the introduction of technological developments.

The ability to work as a team member

Undertake general office duties that fall in line with a team operating both in person and digitally.

Update and maintain tracking systems used by the team

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

## Person Specification

### Experience

**Essential**

- Experience of providing secretarial/administrative duties

**Desirable**

- Experience of working in a health environment
- Experience of working as a member of a team in an office environment
- Experience of general finance systems
- Experience of processes and procedures within this service area
- Experience of supporting the organisation of seminars, conferences, workshops etc.

### Qualifications
