### Job overview

The Community Therapy Team - North provides clinical interventions by a team of Physiotherapists and Occupational Therapists alongside therapy support staff following an assessment of needs, to support rehabilitation and preventing hospital admission.

The service receives referrals from a range of health and care professionals and triages, assesses and provides intervention to the patient to ensure the patient can remain safely and independently at home.

The post holder will provide administrative support to the service to ensure the effective day to day running and outcomes for patients.

Please note: Due to recent changes in UK immigration and visa rules, this role may not be eligible for Skilled Worker visa sponsorship. ### Main duties of the job

- a) To support the team in the day to day running, tasks include ordering PPE and consumables, recording data regarding the caseload and answering the phone b) Word processing of reports and letters, including amending and tidying documents prepared by others, drafting routine correspondence for approval by the team members and taking formal minutes of meetings as required, using software packages as appropriate, e.g. Word, Excel and PowerPoint. c) Maintain and update IT and Maintenance data bases with any Team issues. d) Keeping office systems up to date (e.g. bring forward), devising and maintaining efficient filing, clerical and office systems, and providing general support within the team. e) Helping with meetings organised within the Team and writing up the notes. Attend daily MDT meetings as Admin support. f) Receive and sort internal and external mail and deal with each appropriately.

- a) To order and maintain adequate levels of stationery and equipment as required by the team, authorised by the Lead. b) To maintain expected standards of office safety and security. c) Add to SystmOne and discharge when the service has completed the treatment.

## Person Specification

### Experience

**Essential**

- Recent secretarial or administrative experience
- Evidence of consistent pattern of learning from education, training and experience
- Experience of typing and producing documents e.g. letters and reports

**Desirable**

- Experience of working in a health or social care setting
- Experience of data inputting, databases, spreadsheets
- Experience of ordering supplies and maintaining stock

### Qualifications

**Essential**

- General standard of education to GCSE level or equivalent
- NVQ level 2 or equivalent (Health and social care or business administration)

**Desirable**

- Audio typing

### Other Requirements

**Essential**

- Flexible approach to working
- An understanding of the principles of equal opportunities in relation to staff and patients
- Willingness to undertake training to develop within the role

**Desirable**

- Car Driver (valid Driving License for use in the UK), unless under the Equality Act
- Access to a vehicle for work purposes

- Able to maintain confidentiality and deal with sensitive information
- Able to use recognised IT packages e.g. Microsoft Office including Excel

- Able to communicate effectively with customers, carers and health care specialist service and colleagues
- Able to work effectively as individual but also as part of a larger team
