### Job summary

This is an exciting opportunity to join the Single Point of Access Team for Hampshire CAMHS. The Single Point of Access Team manages the referrals into the service, along with supporting advice and consultation. We are seeking an organised and proactive team administrator co-ordinator to provide comprehensive secretarial and administrative support to clinical staff, including the team manager. In this role, you will oversee the smooth day today running of the office, ensuring effective workflow and maintaining appropriate administrative cover during periods of sickness and annual leave. You will act as the central administrative contact point for the team and take responsibility for managing staff absence records and associated employee information. The postholder will supervise a team of administrative staff, allocating work, monitoring performance, and supporting the delivery of a high quality, client focused service. This is a key role in ensuring efficient operations and supporting strong working relationships across the service.

### Main duties of the job

Key responsibilities include managing diaries, correspondence, phone calls, meeting preparation, minute taking, recruitment administration, and maintenance of staff absence and personnel records. The role also involves updating Trust systems and databases, managing waiting lists, ensuring accurate data submissions and activity reports, and supporting service users, carers, and relatives with sensitivity and professionalism.

The postholder oversees office operations, including stationery, equipment, building-related protocols, petty cash, ordering systems (Oracle/Business Supplies Group), and financial procedures. They will also handle administrative aspects of staff management and recruitment, including induction, sickness monitoring, mandatory training compliance, supervision, and appraisals.

Working autonomously, they must prioritise competing demands, maintain confidentiality, respond promptly to frequent interruptions, and ensure administrative functions run smoothly. The role requires strong organisational skills, attention to detail, the ability to mentor colleagues, and the capacity to work across multiple Trust sites when needed.
