### JOB SUMMARY

The post holder will provide high quality operational and business/ project support to Assistant Directors in the Adult Community Services (ACS) Directorate. The role will be to support these senior staff to deliver the effective and timely implementation of service improvements, the achievement of the targets and objectives set out in the Directorate’s annual work plans and also DOH/SPPG performance targets. The postholder will liaise with senior staff in Trust corporate functions such as Performance, Planning and Informatics, Finance, Procurement & Estates, Clinical & Social Care Governance, Communications and Human Resources & Organisational Development.

### KEY DUTIES / RESPONSIBILITIES

Support the Assistant Directors with the co-ordination and implementation of all operational matters to enable the delivery of their service/performance objectives, controls assurance standards and reform initiatives. This will include the co-ordination of a number of activities with a range of stakeholders, the preparation of reports/business cases, the development of implementation and action plans and taking all relevant follow up action, and the collation and analysis of information.

Undertake the role of project lead to assist senior staff with the implementation of divisional and/or Directorate-wide reforms.

Undertake line management responsibility for administrative staff in the ACS admin office.

Act as the lead co-ordinator for a range of operational matters. This will include the co-ordination of Directorate nominations for local and regional groups,

Collate and draft timely and accurate responses to all internal and external enquiries such as Assembly Questions and Freedom of Information Requests.

Take a lead role in the updating of Internal Audit recommendations for the ACS Directorate.

Provide operational support to Assistant Directors in the management of accommodation and estates requests for ACS services.

Identify innovative solutions to administrative issues and act as a source of high quality and expert advice on all administrative procedures to include, as appropriate, the development of appropriate Standard Operating Procedures.

Ensure maximum benefit is derived from available software such as Sharepoint and Microsoft Teams.

Support the ACS Directorate to stabilise and optimise encompass functionality and processes.

Advise on the training and development requirements of administrative and clerical staff on either a divisional or directorate basis.

As required, develop and deliver training for administrative staff in the ACS Directorate.

Authorise payments as delegated by the Assistant Director and in keeping with Trust procedures.

Develop excellent working relations with key stakeholders to encourage collaborative working across ACS services and the wider Trust.

Assume the role of directorate or divisional representative at various fora.
