### JOB SUMMARY

The Assistant Support Services Manager will support the Senior Support Services Manager/Support Services Manager in the delivery of Catering Services to ensure that a high quality service is provided in an effective and efficient manner which supports the delivery of patient centred care.

The Assistant Support Services Managers are responsible for a designated area i.e. production, patient services, dining areas and act as the duty manager on the shift. The postholder will have line management responsibility for all staff within their designated area.

### KEY DUTIES / RESPONSIBILITIES

To assist in the effective and efficient delivery of catering services within the designated area of responsibility including working to agreed targets and policies and procedures.

To lead oversee and co-ordinate operational aspects of the service(s) within the designated area of responsibility.

Supervise and participate in the preparation, cooking and serving of food for staff, patients and visitors.

Ensure the preparation, production and presentation of food comply with current food safety legislation and maintain appropriate records.

To monitor the quality of service provided and take action as appropriate to ensure that they are responsive to changing demands and meet the standard of service required.

Within the designated area of responsibility identify any changes in practices which would enhance the quality of services provided and represent efficiencies within (including cost improvements).

To ensure compliance with all Health and Safety (inc Risk assessments)/ COSHH/ Colour coding/ Waste management/ Food hygiene/ HACCP procedures and food safety regulations (this includes updating Safe Systems of Work as appropriate and ensuring staff wear protective clothing). Ensure personal hygiene and food hygiene standards are achieved and maintained.

Participate in developing, reviewing and implementing HACCP system for the catering department and wards.

Complete microbiological testing as per procedure and review results with Support Services Catering Manager.

To plan and implement catering staff duty rotas within the designated area of responsibility and organise relief cover if required ensuring maximum use of resources.

To complete weekly timesheets for pay roll and forward to Support Services manager/Senior Support Services Manager for approval.

To ensure staff working patterns and sickness absence information is recorded on HRPTS for your designed area of responsibility.

To manage staff issues including Disciplinary, Capability, Grievance and Sickness Absence in accordance with Trust policies and procedures.

To complete audits including; Food Safety, Dress Code, Hand washing and probe calibrations and take appropriate action working to agreed timescales.

To complete patient satisfaction questionnaires and patient food quality checks at ward level. Discuss patient dietary requirements when required.

Plan, implement and supervise work schedules ensuring that services are provided to the required standard within your designated area of responsibility.

Update information on catering administration systems. Update the Saffron catering management software system as applicable for your designated area of responsibility including inputting recipes and allergen information.

To monitor the ordering and delivery of catering provisions, cleaning materials, cleaning consumables and chemicals, to ensure good stock control. To monitor production and wastage.

Approve catering requisitions on E-procurement up to the approved signatory limit of £1500.

Assist with planning, implementing and adjusting staff and patient menus as required in accordance with budgetary controls and minimum nutritional standards.

Assist in the planning and organisation of functions including Christmas and special days.

To undertake departmental induction training, organise on the job training, complete SOP training with staff and organise mandatory training to ensure they are fully trained and competent to undertake their duties. Update all associated training records as required.

To attend all mandatory and other training when scheduled and apply it to the job.

To attend Trust wide catering services working group meetings as appropriate and participate in all actions as required.

To ensure that all areas of the kitchen including equipment is maintained in a clean hygienic, safe working condition.

To report immediately any defective areas and equipment to estates for repair taking broken equipment out of service. Log faults with estates and follow up as required.

To report and record all accidents/incidents.

To communicate with Trust external contractors when on site i.e. Pest control and High Cleaning.

To participate in the handling of complaints in line with the Trust policy, ensuring appropriate follow up action is taken.

To ensure that appropriate arrangements are in place for opening and closing of the catering department.

To be responsible for the security of cash and floats and completing money lodgements outside catering admin support hours i.e. weekends and Bank Holidays. Authorisation of petty cash when required.

To establish and maintain sound working relationships with ward managers/Head of departments Work closely with the Dietetic department in implementing quality to meet individual patients’ nutritional needs. Liaise with outside recruitment Agencies on staff Issues and liaise with Suppliers.

To provide cover for other Assistant Support Services Managers e.g. covering annual leave, day off and weekends. Deputise for Support Services Manager as required.

### HUMAN RESOURCE MANAGEMENT RESPONSIBILITIES

Review individually, at least annually, the performance of immediately subordinate staff, provides guidance on personal development requirements and advises on and initiates, where appropriate, further training

Maintain staff relationships and morale amongst the staff reporting to him/her. Conduct Team briefings within area of responsibility.

Review the organisation plan and establishment level of the service for which he/she is responsible to ensure that each is consistent with achieving objectives, and recommend change where appropriate.

Delegate appropriate responsibility and authority to the level of staff within his/her control consistent with effective decision making, while retaining overall responsibility and accountability for results.

Participate and advise as required, in the selection and appointment of staff reporting to him/her in accordance with procedures laid down by the Trust.

Take such action as may be necessary in disciplinary matters in accordance with procedures laid down by the Trust.
