We are looking for candidates with appropriate qualifications and experience to join our team in the Pre Assessment Department Glangwili Hospital.

The post holder will need to have excellent communication skills and will act as first point of contact for all non-clinical issues on behalf of the team and the general public that are booked into the department.  The post holder will also liaise with Health Board staff at all levels and outside contractors / suppliers.

An exceptional eye for detail and excellent organisational skills are also expected for this role and you will be required to demonstrate initiative in planning your own workload, in a way that supports the work of the department and team.

This role calls for someone with strong communication skills, both written and verbal, along with good IT knowledge and the ability to stay organised and plan effectively. You will be a supportive and proactive team member who enjoys helping things run smoothly and efficiently.

In this position, you will be responsible for arranging patient bookings to ensure clinics run as effectively as possible, balancing both patient demand and clinic capacity. You will make sure that all necessary notes and paperwork are prepared and available in good time for each clinic, and help to plan clinics based on the staff available on any given day. Working closely with outpatient and waiting list teams, as well as colleagues across the wider hospital, you will play an important role in keeping booking and admission processes running seamlessly.

You will also manage phone calls, taking clear and accurate messages from patients and sharing important information with nursing staff where needed. A key part of the role is proactively monitoring patient pathways to help avoid delays or breaches, and raising any concerns promptly with the team leader.

## Person Specification

### Experience

**Essential**

- Experience of working in NHS.
- Working knowledge of patient database systems.
- Experience in use of Microsoft Office (outlook, excel, word)
- Experience in dealing with the public.

### Language Skills

**Desirable**

- Welsh speaker (Level 1)

### Qualifications and Knowledge

**Essential**

- RSA/OCR III or equivalent demonstrable experience of typing plus experience of a full range of duties working in an administrative / office environment
- Knowledge of Medical / Healthcare Terminology
- Experience working with the relevant IT systems. (WPAS/WCP)
- Knowledge of admission process and Patient Access policy (RTT)
