We are seeking an exceptional Senior Administration Assistant to join our team.

This is an exciting opportunity for a highly organised, proactive, and motivated individual to play a key role in supporting the effective delivery of our services. The successful candidate will provide high-quality administrative support, helping to ensure the smooth day-to-day running of the department while maintaining excellent standards of customer service and professionalism.

Working closely with colleagues, managers, and key stakeholders, you will contribute to a collaborative and supportive working environment, demonstrating strong organisational skills, attention to detail, and the ability to manage a varied workload. ### Main duties of the job

- Providing admin support to the team and medics.
- Organising clinics, appointments, inputting onto SystmOne, general tasks, liaising with clients, carers.
- Reception cover.
- A high level of organisational an interpersonal skill required.
- Ability to change improve procedures.
- Problem solving.
- Experience of using software including Microsoft Word / excel would be advantageous as would the use of SystmONe.
- Supervision and guidance for less experienced staff will also be expected.
- A flexible approach will be expected for absence / annual leave cover.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

### Knowledge

**Essential**

- Knowledge of a range of administrative work procedures and practices
- Literate and numerate level 2

**Desirable**

- Knowledge of medical terminology

### Experience

**Essential**

- Knowledge and experience of IT systems (S1)

- Experience of organising clinics and appointments
- Problem solving skills / Deal with queries
- Make improvements to admin procedures & processes when necessary

**Desirable**

- Supervision of other less experienced staff

### Environment

**Essential**

- Light physical effort required for lifting stationery, files, sitting at a reception desk.

### Qualifications

**Essential**

- Advanced keyboard skills: RSA/OCR III or equivalent/Advanced ECDL
- Good standard of maths/english (level 2)

**Desirable**

- NVQ level 3

- Able to demonstrate inter-personal communication skills effectively
- Able to deal with difficult and challenging situations
- Ability to multi task and work under pressure and to deadlines
