### JOB DESCRIPTION

Accountable to: Business Support Team Leader

Initial Location: Maghaberry Prison

### Job Purpose

The Senior Business Support Officer will be required to support the Business Support Team contributing to the operation of business management as well as in the modernisation and continuous improvement of services by assisting in the redesign and transformation of services in response to strategic developments.

In addition, the post holder will be expected to provide hands on administrative support as and when required. The post holder will have staff management duties within the Business Support Team and they will assist the Business Assurance Manager

### KEY DUTIES / RESPONSIBILITIES

### Managerial Responsibilities

Manage, motivate and deploy efficiently and effectively members of the Business Assurance Support Manager promoting positive staff morale, empowerment and commitment.

Assist and support the development and implementation of appropriate business systems, policies, processes, procedures and management arrangements to deliver effective administrative support services, with the aim of ensuring standardisation across Healthcare in Prison.

Analyse relevant performance data and present information to relevant Business Assurance Support Manager.

Review administrative staffing requirements to ensure resources reflect the needs of the respective teams

Participate in the selection, appointment, induction and training of staff

Promote and undertake KSF Appraisal with staff and provide guidance and advice to members of staff within assigned area of responsibility on personal development requirements initiating further training/development where necessary.

Identify training and development needs of the team and arrange further training as appropriate.

Hold regular staff meetings and take any necessary action resulting from matters raised

Ensure all relevant information is communicated to the Business Support Team

Monitor the quality, presentation and timeliness of work at regular intervals and, where appropriate, challenge performance issues and take necessary remedial action

Participate in the Trust's Disciplinary and Grievance Procedures as required

Co-ordinate and organise leave entitlement of Administration Team ensuring cover is available at all times to meet the requirements of the service

Co-ordinate and monitor flexible working arrangements and take remedial action where necessary.

Monitor and record absenteeism in accordance with Trust and Patient Administration Services policies, taking necessary remedial action.

Liaise with other Managers, Team Leaders and Supervisors within the Healthcare in Prison Team regarding any relevant issues affecting the effective and efficient provision of the service

Develop and maintain strong communication with a range of Clinical staff including Consultants, Clinical Managers and Directorate leads.

Participate in the development and implementation of new systems and processes

Investigate complaints, incidents and accidents and report on these appropriately

Provide advice and assistance throughout all sections of the Business Support Team as and when required

Attend Management meetings as and when required and take any necessary action resulting from matters raised

Use own initiative and be able to pro-actively react to urgent situations as and when they arise, aiming for a positive outcome to the scenario.

Ensure all relevant information is communicated to Team members

Apply as appropriate all policies and procedures within the Trust

Undertake training relevant to the post as and when required

Make/receive telephone calls in a professional and courteous manner and deal competently with enquiries from other departments, hospitals, General Practitioners, patients, etc.

Deal with in-coming and out-going mail

Maintenance of standards and confidentiality in relation to patient records, ensuring that information is updated promptly and accurately and the interests of patients and professional staff are protected.

Such other duties as required and which fall within the remit of this post.

### GENERAL RESPONSIBILITIES

Attend mandatory training sessions, courses and seminars as required

Undertake training relevant to the post as and when required

Maintenance of all office equipment including reporting any faults re computer system and recording of same and ordering of stationary and supplies.

Any other general tasks or projects within the remit of the band.as may be allocated from time to time.
