### Job summary

To manage the day to day running of the Subject Access Request SAR service for the Trust, in accordance with Department of Health guidance.

The SARs Digital Administrator is responsible for ensuring the secure handling, accuracy, and lawful management of health records and personal data in line with data protection legislation and information governance requirements. The role supports the integrity of patient records through effective records management, oversight of digital case documentation, maintenance of information asset registers, and timely escalation of risks or concerns. In addition, the post holder provides operational and administrative support to the Health Records Department, Information Governance Manager, and Freedom of Information Officer, while managing workload priorities, contributing to service improvements, and ensuring high standards of organisational and administrative practice.

### Main duties of the job

Communicate professionally and compassionately with patients, relatives, staff, solicitors and external agencies, adapting communication to individual needs. Provide a responsive service by managing enquiries and processing patient information accurately, securely and within statutory timescales. Build effective working relationships across the Trust, providing advice on Health Records, Subject Access Requests SARs, Information Governance and the Information Asset Register IAR, supporting safe patient care. Apply UK GDPR, Data Protection, Freedom of Information, NHS Records Management standards and Trust policies when managing confidential information. Process SARs, prioritise workloads, assess disclosure requests, identify risks and escalate concerns where appropriate. Maintain the IAR and provide guidance to Information Asset Owners and Administrators. Manage competing priorities, ensure secure handling of records, support departmental operations, improve processes, coordinate meetings, maintain resources and report incidents through Datix. Support audits, service improvements and implementation of new procedures. Maintain professional knowledge, deliver Information Governance training, promote compliance and work effectively in a busy environment, handling sensitive information with accuracy, discretion and professionalism while supporting colleagues and maintaining service continuity.

### Experience

**Essential**

- Excellent verbal and written communication skills; strong organisational ability with the capacity to work independently and use initiative; previous clerical or administrative experience; sound knowledge of Information Governance; understanding of Freedom of Information; and working knowledge of Subject Access Request principles.
- Minute Taking experience; and proficient use of Microsoft Office applications.
