We are seeking an enthusiastic, reliable and well‑organised Research Administrator to join the Research Management & Support Office and provide essential administrative support to the Trust’s research governance and approval processes. This role offers an excellent opportunity to support high‑quality research within a busy NHS environment.
Working under the supervision of the Research Support & Governance Manager, the post holder will support the co‑ordination, tracking and administration of research projects across the Trust. The role is suited to someone with strong administrative skills, a methodical approach to work and an interest in supporting research that improves patient care.
The Research Administrator will support the Trust’s research notification and approval systems, ensuring applications are complete, accurately recorded and progressed through Trust processes and the Health Research Authority (HRA) Approval framework. This involves detailed administrative work, use of IT systems and liaison with researchers and Trust departments.
The post holder will manage a defined caseload of studies, maintain accurate records on the Research Management Database (EDGE), support the issuing of R&D approval letters and assist with monitoring research activity.
Main duties of the job
The post holder will provide high‑quality administrative support to the Trust’s research governance and approval processes under the supervision of the Research Support & Governance Manager. The role involves managing a defined caseload of research projects and supporting the Trust’s research project notification and approval system, requiring good organisation, attention to detail and the ability to follow established procedures accurately.
The post holder will check research applications to ensure required documentation is complete before progressing through Trust approval processes and the national Health Research Authority (HRA) Approval system. This requires the ability to apply guidance, work methodically and identify missing information.
The role includes tracking authorisations and approvals, maintaining accurate records, and supporting the timely issuing of R&D approval letters. The post holder will input and maintain research project information on the Research Management Database (EDGE), support monitoring of research activity through progress reporting and data collection, and provide day‑to‑day administrative support to researchers. The role requires good communication skills, teamwork, flexibility, and effective workload management within defined procedures and Trust policies.
Detailed job description and main responsibilities
Manage a case load of research projects and administer the research project notification and approval system under the supervision of the Research Support & Governance Manager; this will involve evaluating each research application to ensure completeness. This will also involve following the Trust approval system and the national Health Research Authority (HRA) Approval process.
Ensure all authorisations and approvals are obtained and tracked, obtaining final R&D authorisation and issuing of approval letters in a timely, efficient and professional manner.
Ensure all information relating to research projects is accurately input onto the Research Management Database (EDGE) and that the necessary project files are set up; this will involve extensive use of IT systems particularly databases and email systems.
Assist the Research Support & Governance Manager in tracking study progress by means of progress reports and audits.
Provide advice and support to researchers in navigating through the research notification and approval process.
Assist in the collection and collation of research information through the use of paper and computer and IT systems in consultation with research personnel
Assist in the process of issuing Honorary Research contracts etc liaising with the appropriate departments as necessary.
Support and provide cover to other members of the Research Management & Support Office as required; this may include providing secretarial support and reception duties and covering reception in the Clinical Research Facility.
Assist in the development of research information and dissemination as appropriate, e.g. research funding information
With the Research Support & Governance Manager develop systems for effective research monitoring and quality assurance of the research information that the Trust holds and its activity.
Collect and collate statistics and produce reports of the Trust’s research activity and performance.
Comply with all Trust policies and procedures
Any other duties that are required by the Research Support & Governance Manager and Director of Operations (Research) that are commensurate with the grade and duties of the post.
