### Job overview

An exciting opportunity has arisen for a receptionist to join the UCH Outpatients Department. You will be part of an outpatient team delivering a frontline administrative support service to both patients and clinical teams.  We are seeking an enthusiastic individual who enjoys working within a busy multi-disciplinary outpatient team to support in the delivery of a high-quality outpatient service. You will work collaboratively to provide full clinic receptionist and administrative support to various clinical teams, patients and visitors across the three medical specialties outpatient departments. This is a permanent contract for 37.5 hours per week with shifts spanning across our operational times of 8am–6pm.

### Main duties of the job

The successful candidate must have excellent customer service and communication skills, you will need to be enthusiastic, self-motivated with a pro-active approach towards teamwork and service delivery. You will have a high degree of empathy, diplomacy and sensitivity with an acute awareness of the needs of both patients’ and the clinical teams.  In addition, you should have good organisational skills supported by previous administrative experience. You will be required to possess a competent level of IT skills using Microsoft Office software packages, experience in the use the Epic (Patient administration Record) or similar IT systems will be an advantage but not essential.  This is an actively busy role and the successful candidate is required to be able to demonstrate the Trust values, and meet the responsibilities of the job description and person specification. With customer service being a high priority, you will have the ability to respond effectively and respectfully and to patient queries, whilst undertaking the full complement of administrative duties including outcoming clinic appointments, scanning documents to EPIC and checking patients in.  You will also share our vision to continually improve our patient’s experiences across our outpatient departments and be a part of a team heavily invested in a commitment to providing an exceptional service to all stakeholders.

## Person Specification

### Experience

**Essential**

- Experience of working in a non-routine environment, with demonstrable evidence of being able to respond to queries and deal with unpredictable situations as they arise (acquired through experience and/or training to Vocational level 3 or equivalent).
- Experience of working in a customer-facing environment, with knowledge of a comprehensive range of administrative procedures.

### Knowledge and Qualifications

**Essential**

- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of administrative procedures, acquired through training and/or previous experience of working in an administrative environment.
- Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.

**Desirable**

- NVQ Level 3 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
