This is a permanent Receptionist/Administrator position based within our General Surgical Outpatients Department, working alongside our friendly, experienced, enthusiastic, highly motivated, and organised administrative across Urology, General Surgery, Breast and Vascular teams.

The successful candidate will have a methodical approach to work, be extremely well organised, and have a flexible attitude incorporating our Trust PRIDE values.  Good communication skills are essential to this post, as the successful candidate must be able to work well both in a team, and independently.

All aspects of this role should be carried out in line with Trust Policies and Procedures on data collection and confidentiality. Confidentiality in all matters is of the utmost importance.

The successful candidate will also be expected to support the delivery of a high quality, safe and compassionate healthcare service, as all staff are expected to act as a role model to others in all aspects of their work while consistently demonstrating NNUH’s ‘PRIDE’ values of People focused, Respect, Integrity, Dedication and Excellence.

### Main duties of the job

This position is required to provide critical administrative and reception support to the Urology, Breast, Vascular and General Surgery outpatient teams, with a primary focus on managing a significant and growing waiting list, much of which is procedure-based and income-generating. The post-holder will be responsible for booking outpatient appointments, contacting patients, maintaining and updating records, and covering front-facing reception duties on the General Surgical Outpatient desks when needed.

The candidate will be the first point of contact for all appointment bookings and liaise with the relevant clinicians as appropriate. It will be the responsibility of the administrator to ensure the correct and timely input of patient information onto the Patient Administration System (PAS), observing the rules of ‘real time data entry’.

The reception aspect is an essential part of the clerical and admin support for the department and will include meeting and greeting patients on arrival to the department, answering telephone enquiries, while also creating, amending and outcoming appointments. This role includes a wide range of administrative duties utilising Trust systems to record and maintain patient records, and as such, good IT skills in addition to a willingness and commitment to learn multiple Trust IT systems are necessary.

- To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
- To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
- To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
- To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
- To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
- To ensure appointment lists are maintained and prepared in readiness for clinical work.
- To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
- To maintain a record of the transfer of notes to and from the department.
- To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
- To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic.  Liaise with external stakeholders to obtain referrals if necessary.
