An exciting opportunity has arisen to join UCLH’s Elizabeth Garrett Anderson (EGA) Wing, which provides comprehensive, high-quality care with the latest technology for women and their babies in the areas of maternity and neonatal care.    We are seeking a bright and enthusiastic individual to join our admin service to work on the maternity ward receptions as a Reception Coordinator.   This is a permanent, full-time role working 37.5 hours a week, with a requirement to work shifts, Nights, Weekends and Bank Holidays, where applicable.   The successful applicant will be patient focused with excellent customer care skills and an eye for detail.  They will enjoy daily interactions with patients, visitors and multidisciplinary hospital staff.      We are looking for candidates who are seeking an opportunity to enhance their skills and knowledge across the different areas to be covered.  The work will be interesting and varied, giving good grounding for career progression.

### Main duties of the job

This role will be an integral part of the multidisciplinary team within our Maternity department. The post holder will be providing a high quality, comprehensive range of administrative duties and will be expected to deliver an excellent patient and user experience.

The post holder will have supervisory responsibilities and be expected to provide desk cover where needed. They will also be expected to work on improving workflows and developing new SOPs where applicable to improve the service.

Furthermore, the post holder will oversee the smooth operational running of each reception desk, ensuring there are enough receptionists for each of the reception areas, which consists of Front of House, Maternity Triage, Labour Ward and Postnatal Ward.

They will also be the first point of escalation by providing relevant support to Clinic Receptionists in dealing with complaints or in situations where a Clinic Receptionist has been unable to resolve the issue, e.g. visiting policy management on Postnatal Ward.   The post holder will also be interacting with patients via telephone, email and in person in a friendly and professional manner, as well as performing all administrative tasks.

## Person Specification

### Experience

**Essential**

- Experience of working in a non-routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent).
- Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.

**Desirable**

- Previous NHS experience, or experience of working in a healthcare setting.

### Knowledge and Qualifications

**Essential**

- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment
- Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.

**Desirable**

- NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
