Secondment Opportunity. Open to all staff currently employed within Health and Social Care (HSCNI). The Regional Co-Ordination Centre provides operational and strategic oversight of health and care flows across the Northern Ireland Trusts and operates 7 days per week, 364 days per year (excluding Christmas Day), 0800 – 1800 Monday to Friday, 1000 – 1600 weekends and public holidays with the resource / capability to stand up operations in the event of significant service pressures or an enduring major incident. Before applying, applicants must have sought agreement from their manager that they will be released for the post in accordance with the Trust Secondment Policy. Note that the timescales of the project will require early release of the successful candidate and applicants must also have their line manager’s agreement to this before applying.

### JOB SUMMARY

This is an exciting opportunity to work within the Regional

Co-ordination Centre (RCC) for Northern Ireland.

The RCC provides operational and strategic oversight of health and care flows across the Northern Ireland Trusts and will operate 7 days per week, 364 days per year (excluding Christmas Day), 1000 – 1800 Monday to Friday, 1000 – 1600 weekends and public holidays with the resource / capability to stand up operations in the event of significant service pressures or an enduring major incident.

The postholder will work on a rotational basis providing 7-day cover largely between the hours of 0800 and 1600. The post holder will be responsible for coordinating the information flows from Trusts or information systems to inform daily regional meetings and for capturing discussions at meetings / informing reports.

This is a dynamic, key role, providing vital support to the Regional Coordination Centre.

The post-holder will be required to establish and maintain effective networks with all who contribute to the RCC.

### KEY DUTIES / RESPONSIBILITIES

To provide effective and efficient administrative and secretarial services to the functions of the RCC.

To assist in the establishment and maintenance of systems, processes and procedures for the effective and efficient operation of the RCC.

Servicing daily meetings, capturing information and reproducing to inform the daily meetings.

Capturing discussions and actions from daily meetings

Working closely with Co-Directors to ensure daily reports are available to inform the function of the RCC, reporting to Trusts, SPPG and DoH as required

To process and record communications from Trusts, SPPG or DoH.

To assist in the organisation of the activities of the RCC, participating in relevant Team weekly meetings, workshops/conferences as necessary

To assist the Director / Co-Directors to manage the process of agenda setting, the logistics of the organisation of meetings, provision and dissemination of information.

To undertake additional responsibilities as required, including relevant decision making regarding the running of the RCC.

To assist in the implementation of arrangements to assure strong financial management ensuring efficient and effective use of resources.

To assist in the development of systems, processes and procedures for the management of records (both manual and electronic) within the RCC in accordance with HSC policy, DoH guidance and statutory requirements.

To assist in introducing best practice information systems in line with HSC, ICT strategy, including electronic document management, ensuring that staff are trained and competent in the use of these systems.

### GENERAL MANAGEMENT RESPONSIBILITIES

The post holder will promote and support effective team working, fostering a culture of openness and transparency. The post holder will ensure that they take all concerns raised with them seriously and act in accordance.

Participate in any staff appraisal schemes organised by the RCC and any training relevant to the post.

Provide guidance on personal development requirements and advise on and initiate, where appropriate, further training.

Delegate appropriate responsibility and authority to the level of staff within his/her control consistent with effective decision making whilst retaining responsibility and accountability for results.

Take such action as may be necessary in disciplinary and grievance matters in accordance with procedures laid down by the RCC.

Comply with all relevant HSC policies and procedures, as required.

Any other duties as may be assigned from time to time.

### The post holder will be required to
