### Job overview

This is a fantastic opportunity for a dynamic and enthusiastic individual to join our administrative team within the UHBW Pregnancy Advisory Service which provides abortion care to people in BNSSG.

Working Pattern: Wednesday 10-6 & Thursday 9.30-4.30

### Main duties of the job

- Check patients in and out of the clinic, maintaining a welcoming and non-judgemental environment.
- To act as a point of contact for queries from clinical and non-clinical staff, and patients
- Liaise with clinical and non-clinical teams across the Trust via telephone and email
- Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate
- Communicate changes to clinical team
- Manage patient referrals
- Carry out clinical coding and a variety of other administrative activities using multiple healthcare systems.

Working hours - Wednesday 10am-6pm and Thursday 09.30am-16.30 am. These are fixed hours with no flexibility to vary the start or finish time.

This role is permanently based on the first floor of Tower hill and will involve moving around different areas of the building as part of your daily role.

This role is not suitable for home working.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

### Skills and Abilities

**Essential**

- Empathetic, professional and non-judgemental manner when dealing with people, both on the telephone and face to face
- Flexible approach to duties
- Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
- Proven good organisational skills
- Good IT skills including Microsoft packages
- Confidence to handle difficult conversations with patients, relatives and carers
- Attention to detail
- Ability to work effectively in a busy team, adjust to change and motivate others
- Ability to work independently and as part of a team
- Able to respond to patient queries and escalate to the multi-disciplinary team when necessary

### Knowlege and Experience

**Essential**

- Previous receptionist experience in a healthcare or public setting
- Clerical/administration experience including filing and/or reception
- Experience of dealing with the public, both on the telephone and in person

**Desirable**

- Previous NHS experience

### Qualifications and Training

**Essential**

- Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
- Business and Administration Level 3 NVQ or equivalent experience
